What this says
Current to 11 Oct 26Onboarding call with Tyler Nguyen, the Salesforce administrator, on 29 Jun 2026. Salesforce, the TMS files and the helpdesk were walked through. Snowflake access, the TMS export and a helpdesk token all depend on other teams.
What happened: Laura Penhaligon agreed a read-only Salesforce connector, Snowflake access and a helpdesk token with Tyler Nguyen. Tyler is the go-between, not the owner, for Snowflake and the helpdesk.
Customer view: Tyler welcomed read-only access and wants to build the integration profile in the sandbox first. He expects the rollout to reps to wait until there is something worth seeing.
Watch: The TMS load job has no owner, and the export time and permission for a second copy of the files are unconfirmed. Salesforce shipper records are inconsistent and contain duplicates.
Commercial: This is Growth onboarding with 40 licensed users and only a couple of people in the brain so far. Value depends on connectors going live quickly.

Follow-up
Next steps
Current to 9 Oct 26- Tyler Nguyen to ask IT for the Snowflake role, warehouse and named owner, and the support lead for a read-only token.
- Tyler Nguyen to confirm the TMS file arrival time and whether a second copy is allowed.
- Laura Penhaligon to send the permissions note and object list the same evening.
Risks
Current to 9 Oct 26- The TMS load job has no owner, so the data could go stale without anyone noticing.
- Snowflake and helpdesk access sit with other teams, so connector go-live may slip.
- The absent sponsor may press for a faster rollout than the connectors allow.
Opportunities
Current to 9 Oct 26- Freshness becomes watchable if the nightly TMS files land straight in Snowflake.
- A rep session once connectors are live could take use beyond the current couple of users.
Transcript
- Laura Penhaligon NoneHello Tyler, can you hear me alright?
- Tyler Nguyen NoneYep, loud and clear. Good evening, I guess. It's quarter past five your side?
- Laura Penhaligon NoneIt is, yes. Sorry about the late slot, it was the only gap I had. It's still the morning for you, isn't it?
- Tyler Nguyen NoneEleven fifteen. Second coffee, so you've caught me at a good time.
- Laura Penhaligon NoneLovely. Right, so today is mostly you and me. Lauren couldn't make it, but I'll write up whatever we agree and she'll get the notes. What I'd like to do is walk through the three sources we're connecting first, work out what access I need from you, and leave with a clear list of who does what. Does that work?
- Tyler Nguyen NoneWorks for me. Just so you know, I'm the one who ends up with the sticky notes on this, so if something needs doing in Salesforce, it's me.
- Laura Penhaligon NoneThat's what I like to hear. Okay, Salesforce first, since it's the biggest. Have you had a chance to look at the permissions sheet I sent over?
- Tyler Nguyen NoneI did. I'll be honest, I had a few questions. You're asking for read access to accounts, contacts, opportunities and cases. Do you need the custom objects as well? We've got quite a few for shipper contracts and lanes.
- Laura Penhaligon NoneYes, I'd want those, especially anything that describes the shipper relationship. The whole idea is one view of each shipper, so lanes and contract objects are exactly what makes it useful. It's all read only, by the way. The brain never writes back to Salesforce.
- Tyler Nguyen NoneOkay, good. Read only is easier to sell internally. Our security person will ask.
- Laura Penhaligon NoneFair. I can send a short note on exactly what is read and where it lands, if that helps you with them.
- Tyler Nguyen NoneThat would help, yeah.
- Laura Penhaligon NoneGreat. So the way it works, BB-Demo sits inside your own Snowflake account. Nothing is copied out to us. The connector pulls from Salesforce into a schema in your Snowflake and the brain reads from there. So I'll need a role and a warehouse we can use. Who looks after Snowflake on your side?
- Tyler Nguyen NoneThat's a different team, a colleague in IT. I can ask them, but I don't own it. I'd be the go-between.
- Laura Penhaligon NoneThat's fine, but I'd like to have it by the end of the week if we can, because it's the longest lead item. Can you ask for a dedicated role and a small warehouse, and ask them what the compute budget looks like?
- Tyler Nguyen NoneWill do. I'll message him this afternoon. He's quick when it's a specific ask.
- Laura Penhaligon NonePerfect. Second one, the TMS. This is the one I know least about, so tell me how the data gets out of it today.
- Tyler Nguyen NoneSo it's a hosted system. It doesn't have a nice connector, but it does a nightly export of loads and shipments, delivered as files into a storage bucket. Someone built a job years ago that picks them up and loads them into a reporting database. That's what the operations team uses.
- Laura Penhaligon NoneRight, and is that load job still maintained?
- Tyler Nguyen NoneMm. Define maintained. The person who wrote it moved to another team. It runs, it hasn't broken in a while, nobody really owns it.
- Laura Penhaligon NoneOkay, that's worth noting. A thing that runs but nobody owns is what goes quiet on us three months in. What I'd suggest is we skip the reporting database and take the nightly files straight into Snowflake. Then freshness is something we can watch, rather than a job nobody remembers.
- Tyler Nguyen NoneThat'd be simpler, honestly. I'd need to check we're allowed a second copy of the files, though.
- Laura Penhaligon NoneSure. Can you check that, and also find out what time the export lands? We need the refresh finished by seven in the morning your time, so reps have fresh data before they start.
- Tyler Nguyen NoneI believe it's the early hours, three or four. I'll confirm.
- Laura Penhaligon NoneGood. Then the helpdesk. Who administers that?
- Tyler Nguyen NoneThe support team lead. I've got a login that lets me look around, but I can't generate an API token. That would be her.
- Laura Penhaligon NoneOkay. Could you ask her for a token, read only again, and tell her it's for the brain project? She might want a reason.
- Tyler Nguyen NoneYeah, she'll want the reason. I'll copy her on whatever you send.
- Laura Penhaligon NoneRight, let me share my screen and show you the Salesforce connected app, so you can see what you'll be creating. Give me a second.
- Tyler Nguyen NoneTake your time. I'll find my own sandbox in the meantime.
- Laura Penhaligon NoneOkay, can you see it? That's the connected app. Callback is set, and you'll want the integration user to have that profile, and nothing broader.
- Tyler Nguyen NoneYep, I see it. Is the profile something I clone or something you give me?
- Laura Penhaligon NoneYou clone the standard read only one and add the custom objects. I'll put the list in the follow-up so you're not guessing.
- Tyler Nguyen NoneGood. Then I can have that built tomorrow, probably. The sandbox first, then production once you've confirmed it looks right.
- Laura Penhaligon NoneThat order is exactly what I'd do. Now, a question that matters for the shipper view. Which field tells you which account is a shipper rather than a carrier or a vendor?
- Tyler Nguyen NoneThere's an account type field, and a record type as well, which is a bit of a mess. Some older records only have the type, some only the record type. And we've got duplicates, parent and child shippers that are really the same company.
- Laura Penhaligon NoneThat's very common, and not a blocker. We load it as it is, and I'll show you what the brain thinks are the same shipper. Then you and Lauren decide what's a true duplicate. I wouldn't clean anything before we've seen it.
- Tyler Nguyen NoneThat's a relief. I was about to spend a week merging records.
- Laura Penhaligon NonePlease don't. Not yet, anyway. Last bit for today, users. You're licensed for 40 on Growth, and at the moment it's just a couple of you in there. Is that what you expected?
- Tyler Nguyen NonePretty much. Lauren wants to roll it out to the account reps once there's something worth looking at. She doesn't want them opening it and finding it half empty.
- Laura Penhaligon NoneCompletely agree. So let's get the connectors live first, and then I'll run a short session for the reps. Realistically that's a couple of weeks away.
- Tyler Nguyen NoneOkay. I'll tell her. She'll ask if it can be faster, so brace yourself.
- Laura Penhaligon NoneHa, I've met her. Let me read the list back. You'll ask your IT colleague for the Snowflake role and warehouse, and for a named owner. You'll check whether we can take the TMS files directly and what time they land. You'll ask the support lead for a read only token. And you'll build the integration profile in the sandbox. Have I missed anything?
- Tyler Nguyen NoneThat's all of it. And you're sending the permissions note and the object list.
- Laura Penhaligon NoneTonight, after this. Same time next week, then, and I'll bring Lauren in. Thanks Tyler, speak soon.
- Tyler Nguyen NoneCheers Laura, bye.
