What this says
Current to 11 Oct 26Demo to Copperlane Payroll's operations team on test payroll data. Rebecca Nuttall wants payroll history and invoice status in one view. Priya quoted Starter at £25,500 all-in, then £19,500 a year. Decision expected 16 May 2025.
What happened: Priya Raman and Hannah Lowe demoed the brain on test payroll data to Rebecca Nuttall, Ian Brearley and Wayne Entwistle on 7 Apr 2025. Rebecca's first question was whether a client's payroll history and invoice status can sit in one view.
Commercial: Priya quoted Starter at £25,500 for implementation and first-year subscription together, then £19,500 a year. Implementation was described as four weeks, with a May kick-off aimed for.
Customer view: Rebecca wanted the full scope in writing before signing. Wayne asked about response times and was told first response for Starter is four business hours.
Watch: The call does not show whether the order form was sent or signed. It only records an expected decision date of 16 May 2025.

Next steps
Current to 9 Oct 26- Priya Raman to send the order form with the payroll, invoice and CRM connectors and the implementation timeline.
- Hannah Lowe to answer any technical questions in writing before the decision.
Risks
Current to 9 Oct 26- The £25,500 all-in figure was followed straight away by a question on annual cost, so the price split needs to be clear in the order form.
- Starter support is a six-monthly check-in and four business hours first response, which Wayne probed and may be tested later.
Opportunities
Current to 9 Oct 26- A Starter subscription covering payroll system, invoice system and CRM connectors, with the connectors written into the order form.
- Later growth in users or connectors, since Priya said Starter can be scaled up.
Transcript
- Priya Raman NoneMorning, everyone. Thanks for making the time this morning. So I wanted to get Hannah on because she's going to walk you through exactly how the brain works with your data. We're talking payroll runs, client queries, invoicing, all in one place. Hannah?
- Hannah Lowe NoneMorning. Right, so what I'll do is share my screen and show you a demo environment set up with some test payroll data. Rebecca, Ian, what would be most useful for you to see first?
- Rebecca Nuttall NoneI think the key thing is, can it show us a client's payroll history and their invoice status in the same view?
- Hannah Lowe NoneExactly. So I'm going to show you the pages view here. You'd build a page that pulls in the client record, their recent payroll runs, and their invoices all together. Like this, say you need to look at a client's setup, you'd see everything without switching systems.
- Ian Brearley NoneRight. And you can filter by date or by client?
- Hannah Lowe NoneYes. You can filter, sort, search, the short answer is you can ask it natural questions. The longer answer is that we're indexing your data so you can ask it things like 'show me clients with unpaid invoices over a month old', and it understands that.
- Wayne Entwistle NoneThat'd be useful for chasing things up, yeah.
- Hannah Lowe NoneExactly. So the connectors we'd set up are your payroll system, your invoice system, and your CRM if you've got one. Those pull data nightly, and then the brain indexes it all. Once it's indexed, you can ask questions via chat or via the search bar.
- Rebecca Nuttall NoneAnd the implementation, how long does that take?
- Priya Raman NoneSo for Starter, which is what you'd be, implementation is four weeks. We'd build the connectors, make sure the data's flowing, train your team. Cost is £25,500 all-in, implementation and first year subscription together.
- Ian Brearley NoneAnd after that, what's the annual cost?
- Priya Raman NoneStarter is £19,500 a year. The £25,500 is your all-in cost: so implementation covers you for four weeks, and then you're on the annual subscription from there.
- Rebecca Nuttall NoneOK. And support, what does that look like?
- Hannah Lowe NoneFor Starter, you get a check-in with your CSM every six months. If you run into issues with connectors or data freshness, you can raise a ticket and we'll get to it. It's straightforward support.
- Wayne Entwistle NoneAnd how quickly do you typically respond?
- Hannah Lowe NoneFor Starter, first response is four business hours. If something's broken, you'll hear from us within that window.
- Priya Raman NoneRight. So look, I think what we should do is, I'd like to get an order form in front of you. We can schedule a quick call next week to walk through it, and if all looks good, we'd aim to kick off implementation in May. How does that sound?
- Rebecca Nuttall NoneYeah, that works. We'd want to see the full scope of what you're building before we sign, obviously.
- Priya Raman NoneAbsolutely. I'll put together an order form with the connectors we discussed: payroll system, invoice system, your CRM, and we can walk through the implementation timeline. I'll have that over by end of week. Expected decision date from us would be 16 May 2025.
- Hannah Lowe NoneAnd if you have any technical questions before then, just ping me. I'll put that in writing.
- Rebecca Nuttall NoneGreat. Thanks.
- Priya Raman NoneCheers, all. Let's speak soon.
