What this says
Current to 11 Oct 26Helen Varley found usage steady but wants a per-trust dashboard for her account managers and a value case for the 1 May 2026 renewal. She is not asking for more spend. Marcus Bell flagged reliance on a small group of askers.
What happened: Marcus Bell reviewed usage with Helen Varley on 23 Jun 2025. Average active users was a touch down, questions asked was holding, and there were no tickets in the last month.
Customer view: Helen wants each key-account manager to have one view of orders, delivery queries and renewal status for their own trusts. She wants it broader, not narrower, and is not asking for more spend.
Commercial: Marcus quoted renewal on 1 May 2026 at £48,500 a year as it stands, under the Growth tier, with terms going through Priya. Helen wants to show what the business got for forty licences.
Watch: Four or five people do the bulk of the asking. Marcus noted that quiet tickets can mean people have stopped trying things.

Follow-up
Next steps
Current to 9 Oct 26- Marcus Bell to send slots for a dashboard working session once Helen picks the trust.
- Marcus to build a one page view of usage and dashboards for Helen to show internally.
- Helen to send the list of account managers who should have access.
Risks
Current to 9 Oct 26- Usage rests on four or five people, a key-person risk going into the 1 May 2026 renewal.
- Helen needs evidence of value for forty licences, and none has been assembled yet.
- Zero tickets may signal people have stopped trying things rather than satisfaction.
Opportunities
Current to 9 Oct 26- The dashboards builder is included in Growth, so a first trust view can be built and copied for the others.
- Headroom on forty licences means the aim is wider adoption, not extra spend.
Transcript
- Marcus Bell NoneHi Helen, afternoon. Can you see my screen yet?
- Helen Varley NoneAfternoon. Yes, I've got the usage page. Three things from me today: how the account managers are getting on, anything that's not working, and dashboards by trust. Does that fit?
- Marcus Bell NoneThat fits nicely. I was going to cover usage first anyway, so let's start there. I've pulled the numbers and they're pretty steady. Average active users is a touch down on the last quarter, nothing dramatic.
- Helen Varley NoneA touch down. What's driving that?
- Marcus Bell NoneHonestly it looks like normal movement. A couple of people who used to log in daily now dip in weekly. Questions asked is holding up, which is what I care about more.
- Helen Varley NoneOkay. By trust, please, who's asking? Because I think a few of the trusts are quieter than they should be and I'd rather know.
- Marcus Bell NoneI can show you who asks the most. Give me a second. It's mostly four or five people doing the bulk of it, and that's the part I'd flag. Quite a lot rests on a small group.
- Helen Varley NoneThat's useful. I'll take that to the account managers. I'd like it broader, not narrower.
- Marcus Bell NoneAgreed. And there's headroom, you've got forty licensed users and nowhere near that active. So it's about getting more of the team in, not buying more.
- Helen Varley NoneGood, because I'm not asking for more spend. Tickets?
- Marcus Bell NoneNone this last month. Quiet. Which is good, but I'll be straight, quiet can also mean people have stopped trying things. I'd rather hear a few how-to questions.
- Helen Varley NoneHa, so I should make them raise more tickets?
- Marcus Bell NoneNot quite, no. Just ask me, or ask the brain. Right, so dashboards. You said by trust.
- Helen Varley NoneYes. Each key-account manager should open one view for their own trusts: orders, delivery queries, and where the contract renewal stands. Right now they're stitching it together from searches.
- Marcus Bell NoneThat's exactly what the dashboards builder is for, and it's included in your Growth tier. I can build a first one with you for a single trust, and then you copy it for the rest.
- Helen Varley NoneFine. Which trust? Pick the busiest one, they'll complain loudest if it's wrong.
- Marcus Bell NoneFair. You tell me which and I'll set up a working session with you and one of the account managers. Say an hour, I'd build while you steer.
- Helen Varley NoneI'll pick one and come back to you today. And the renewal's next spring, isn't it? I want to be able to show what we got for forty licences.
- Marcus Bell NoneYes, it runs to 30 Apr 2026 and renews 1 May 2026, at £48,500 a year as it stands. Anything on terms goes through Priya, but I'm very happy to build you a one page view of usage and dashboards so you've got something to show.
- Helen Varley NonePlease. That would help me more than anything. Anything on your side you need from me?
- Marcus Bell NoneA list of the account managers who should have access, so I can compare it against who's actually in. Then I'll know who's missing.
- Helen Varley NoneI'll send that. It'll be one or two names out of date, I'm warning you now.
- Marcus Bell NoneThat's fine, it's usually the case. Right, I'll also look at a fuller review in September once the dashboards have been in use for a bit. Shall we pencil that in?
- Helen Varley NoneSeptember's fine. Not the first week, I'm away.
- Marcus Bell NoneNoted. So I send slots for the dashboard session, you pick the trust and send the user list, and I put together the usage page. Anything I've missed?
- Helen Varley NoneNo, that's the lot. Thanks Marcus.
- Marcus Bell NoneThanks Helen, speak soon. Bye.
