What this says
Current to 11 Oct 26Tobias Renwick walked Ed Duckworth and Toby Underwood through the data mapping for the CRM, claims and call sources and asked for sign-off. The customer agreed and will send a broker segment spreadsheet the same day.
What happened: Tobias presented the mapping of three sources before the build phase. Ed asked about claim category, which Tobias confirmed and will add.
Customer view: Both customer attendees were content with the scope. Toby confirmed that searching by client name and seeing all calls at once is what they need.
Commercial: This is early implementation work, with no pricing, renewal or competitor discussion. The segment filter shows the brain being shaped around how brokers work, which supports later adoption.
Watch: Call audio cannot be searched, only metadata. Toby is to send the segment spreadsheet by end of day, and the build depends on it.

Next steps
Current to 9 Oct 26- Toby Underwood sends the broker names and segments spreadsheet by end of day.
- Tobias Renwick builds the connectors and runs them on test data the following week.
Risks
Current to 9 Oct 26- Call audio cannot be searched, only its metadata, which could fall short of what brokers expect.
Opportunities
Current to 9 Oct 26- Per-user segment filtering ties the brain to how brokers work and may encourage wider adoption.

- Tobias Renwick NoneMorning, Toby, Ed. I've finished the data mapping. I wanted to walk you through what I found and get your sign-off before we move to the build phase.
- Ed Duckworth NoneFire away.
- Tobias Renwick NoneRight. Your Salesforce CRM has about forty thousand records. Accounts and contacts are clean. I found a few custom fields I wanted to check: you've got a field called broker_segment that isn't documented. What is that?
- Toby Underwood NoneThat's how we classify clients by size and type. It should all be populated.
- Tobias Renwick NoneIt is. Good. Second, your claims system: about fifteen thousand live claims, going back about three years. The schema is straightforward. I can pull claim amount, claim date, claim status, the client ID to join back to Salesforce. Any fields I'm missing?
- Ed Duckworth NoneWhat about claim category?
- Tobias Renwick NoneYes, that's there. I'll add it. Third, the calls: you've got about three thousand recordings, about two months back. The metadata is: call date, duration, who was on it, the client ID. We can't search inside the call audio, but we can surface the metadata and link it back to the client record.
- Toby Underwood NoneThat's what we need. Can brokers search by the client name and see all their calls at once?
- Tobias Renwick NoneExactly. Type the client name, the brain shows you their account record, claims history, and a list of every call with them. That's the whole point.
- Ed Duckworth NonePerfect. Are we ready to build?
- Tobias Renwick NoneAlmost. I need to set up one more thing: the broker_segment filter you mentioned earlier. I'm going to tag each user with their segment so they only see their own clients.
- Toby Underwood NoneThat's good. How do we tell you who's on what segment?
- Tobias Renwick NoneSend me a spreadsheet with broker names and segments. I'll set it up in the brain so when Ed logs in, he only sees premium clients, for example.
- Ed Duckworth NoneWe can do that today. Anything else?
- Tobias Renwick NoneThat's it. I'll be building the connectors this week, running them on your test data next week, and training everyone the week after that. If anything comes up, I'll flag it.
- Toby Underwood NoneGood. I'll send you that spreadsheet by end of day.
- Tobias Renwick NoneCheers. I'll check in next week with a status.
