What it says
What this says
Current to 11 Oct 26Renewal proposal dated 16 Sep 2026 for the Growth subscription, term ending 23 Nov 2026. It proposes an annual price of £54,000 for 50 licensed users, against a current £48,000, and flags falling usage.
What it is: a renewal proposal from Matteo Ricci, Account Executive, with Elena Novak as customer success manager. It is marked Final, but it is a proposal and not an executed order form.
Commits: "The renewal amount of £54,000 is the annual subscription price." The term is twelve months, billed annually in advance, with payment terms of thirty days.
Unusual: the proposal is candid about usage. Daily activity is "well below the licensed number, and lower than in the previous quarter", and an adoption plan is offered at no extra cost.
Not settled: the user count, the day-to-day owner and the value measure are open questions. The text gives no usage figures, and no signature or acceptance by Brinkerhof Distributie is shown.

Body
Brinkerhof Distributie - Renewal Proposal
Status: Final Prepared by: Matteo Ricci, Account Executive, BB-Demo Customer success manager: Elena Novak Date: 16 Sep 2026 Tier: Growth
1. Why we are writing
Brinkerhof Distributie joined BB-Demo on 24 Nov 2025 and the current term ends on 23 Nov 2026. This proposal sets out how we suggest the Growth subscription continues from there. I would rather you heard the honest picture from me, so the usage position is set out plainly below before the commercial terms.
2. Where the brain stands today
Brinkerhof bought Growth so that account managers can see each installer's orders, delivery complaints and credit queries in one view, across the southern Netherlands and Flanders.
| Area | Position |
|---|---|
| Licensed users | 50 |
| Daily activity | Well below the licensed number, and lower than in the previous quarter |
| Support | One ticket in the last month, none high priority |
| Invoices | Paid on time, nothing overdue |

The subscription has been paid promptly and support has been quiet. Quiet support alongside falling usage can mean the brain is simply not part of the daily routine for every account manager, so we do not want to read it as a sign that all is well.
3. What we propose
| Item | Detail |
|---|---|
| Tier | Growth |
| Licensed users | 50 |
| Annual price | £54,000 |
| Current contracted annual recurring revenue | £48,000 |
| Term | Twelve months, billed annually in advance |
| Payment terms | Thirty days, as today |
The renewal amount of £54,000 is the annual subscription price. It is not a one-off fee, and no new implementation fee applies to a renewal. Any first-term discount from the original order form ends at renewal, which is part of the difference from the current £48,000.
4. What we would like to do with the term
Price is only half of the conversation. Before the renewal date we would like to agree a short adoption plan with you:
- A review with the account managers who ask the fewest questions, to find out what is getting in their way.
- A check that each connected source is still loading as expected, so the brain is not working on stale data.
- A look at whether the 50 licensed users match the people who should be using it, so you are not paying for seats nobody needs.
- A refreshed set of pages and dashboards around the installer view, built with your team.
These sit inside the Growth tier and the quarterly review that comes with it. They carry no extra cost.
5. Open questions for Brinkerhof
- Is the number of licensed users still right for the way the sales and service teams are organised?
- Who in your team should own the brain day to day?
- What would you need to see in the next quarter to be confident about the value?
Let me confirm any answers in writing so that the order form reflects them exactly.
6. Next steps
- Matteo Ricci and Elena Novak to arrange the adoption review with your team.
- Brinkerhof to confirm the user count and the day-to-day owner.
- Renewal order form to follow once the above is agreed, ahead of 23 Nov 2026.
Best regards, Matteo
