What it is: a customer-facing onboarding plan, not a contract. It says "This plan sets out how we get the brain live for Brannock Medical Supplies, a Growth tier customer since 1 May 2024."

Commits: BB-Demo to four phases (access and kickoff, connect and map, first refresh, training and handover) with Callie Brennan leading and Marcus Bell taking over adoption. The customer must supply "a named administrator and credentials for each source".

Unusual: no calendar dates are set. They are to be "agreed at kickoff", and late credentials move later phases.

Not settled: the exact connector list, which is confirmed with the administrator at kickoff, and anything beyond the Growth connector allowance. It is a 2024 document, so the term end of 30 Apr 2025 and the contracted figure are not shown to be current, and it does not say whether the executed order form matches.

Brannock Medical Supplies - Onboarding Plan

Status: Final. Issued 8 May 2024 by Callie Brennan, Implementation Consultant, BB-Demo.

Purpose

This plan sets out how we get the brain live for Brannock Medical Supplies, a Growth tier customer since 1 May 2024. The aim is simple: key-account managers should be able to see orders, delivery queries and contract renewals for each NHS trust, GP practice and care home group in one place, and ask the brain questions instead of reconciling systems by hand.

Scope

The brain runs inside Brannock's own Snowflake account. For this onboarding we will connect the sources the key-account team relies on day to day:

Read the whole document (4,226 characters)
  • The CRM, for trusts, practices, care homes and their contacts.
  • The helpdesk, for delivery queries and complaints.
  • The accounting system, for invoices and payment status per account.
  • Shared documents, for contract and renewal paperwork.

The exact connector list is confirmed with your administrator at kickoff. Anything beyond the Growth connector allowance is handled as a separate conversation with Priya.

Phases and owners

Phase one: access and kickoff

  • Brannock provides written access for each connector before we start. What I need from your side is a named administrator and credentials for each source.
  • Callie runs the kickoff call and walks through this plan.
  • Marcus joins the kickoff so adoption planning starts from day one.

Phase two: connect and map

  • Callie connects each source in turn, only once written access is in place.
  • Fields are mapped to the trust, practice and care home structure. Each mapping is checked against real records before we move on.
  • Brannock's administrator reviews the mapping notes and flags anything that does not match how the team talks about their accounts.

Phase three: first refresh

  • Before we switch on the refresh, we agree a short check list with your administrator.
  • The first full refresh runs, and Callie reviews record counts per source with your administrator.
  • Any source that does not load cleanly is fixed before sign-off, not left for later.

Phase four: training and handover

  • Key-account managers get a hands-on session using their own trusts and accounts.
  • Your administrator is shown how to run connectors, add users and read the refresh status without us.
  • Callie hands over a written setup note covering connectors, mappings and open points.
  • Marcus takes over as the day-to-day contact for adoption and the first check-in.

Milestones

  • Written access received for every connector in scope.
  • Kickoff held and plan agreed.
  • All connectors loading and mappings reviewed.
  • First clean refresh confirmed with your administrator.
  • Training delivered to the key-account team.
  • Setup note handed over and onboarding closed.

We will agree calendar dates for each milestone at kickoff. If credentials arrive late, the later phases move with them.

Risks and dependencies

  • Access delays. Connector credentials arriving after kickoff are the most common cause of slippage.
  • Single administrator. If one person holds all the knowledge on the Brannock side, we will train a second admin before handover.
  • Source changes. If a system is changed or migrated during onboarding, tell us early so mappings are not built on the old structure.

What good looks like at close

  • The key-account team asks the brain about their trusts rather than chasing colleagues for spreadsheets.
  • A Brannock administrator can run the brain alone.
  • Users are active across the key-account team, within the licensed user allowance.

Contacts

  • Implementation: Callie Brennan, Implementation Consultant
  • Commercial: Priya Raman, Account Executive
  • Adoption and renewal: Marcus Bell, Customer Success Manager

Thanks, Callie
