What it says
What this says
Current to 11 Oct 26Final renewal proposal from Tom Ashdown, dated 26 Jun 2025, to renew Growth for twelve months at £44,000 per year with 40 users and no price increase. The term it covers ended on 1 Sep 2025. It is a proposal, not an executed order form.
What it is: a renewal proposal for the term ending 1 Sep 2025. It states "We propose renewing the Growth subscription for a further twelve months on the same terms you have today."
Commits: it sets out annual price £44,000, 40 licensed users, billing "Annually in advance, standard payment terms", and the nightly refresh "complete by 07:00 customer local time on business days". Service credits apply to availability only.
Unusual: nothing off the standard Growth terms. The price is held, "so there is no increase at this renewal", and no implementation fee applies.
Not settled: the text names no signatory and no signature date, so it does not show whether the renewal was agreed. It also gives no availability percentage or P1 response time, and it is stale against today's date, so a later executed order form would decide terms.

Calderbrook Housing Group - Renewal Proposal
Prepared for: Calderbrook Housing Group, Leeds Prepared by: Tom Ashdown, Account Executive, BB-Demo Customer success manager: Natalie Eze Date: 26 Jun 2025 Status: Final
1. Why we are writing
Calderbrook Housing Group joined BB-Demo on 2 Sep 2024 on the Growth tier. The current term ends on 1 Sep 2025, so this paper sets out what we propose for the renewal, what stays the same and what you would be paying.
We have kept it short and practical. If anything here does not match how your team sees the last year, tell us and we will correct it before anything is signed.
2. What the brain has done for Calderbrook
Your business-intelligence team bought the brain to pull tenant calls, repairs tickets, complaints and rent arrears into one picture that can go in front of the board without a week of manual reconciling. Over the term:
Read the whole document (5,608 characters)
- The brain has run inside your own Snowflake account throughout, so your data has stayed where your governance team wants it.
- Usage has been steady and a little higher than the quarter before, with the business-intelligence team as the core group and a wider circle of colleagues dipping in for specific questions.
- Support has been quiet. There has been one ticket in the last month, and it was handled within the Growth service level.
- Invoices have been paid on time, with nothing outstanding.
We would not call this a runaway success story, and we would rather say so plainly. It is a steady, useful deployment that has done what it was bought to do.
3. What we propose
We propose renewing the Growth subscription for a further twelve months on the same terms you have today.
| Item | Proposal |
|---|---|
| Tier | Growth |
| Deal type | Renewal |
| Licensed users | 40 |
| Annual price | £44,000 |
| Contracted annual recurring revenue | £44,000 |
| Deal amount | £44,000 |
| Billing | Annually in advance, standard payment terms |
| Implementation fee | None, as this is a renewal |
The deal amount for this renewal is the annual subscription alone, because there is no new implementation work. The price is held at the level you signed up to, so there is no increase at this renewal.
4. What is included
The Growth tier continues to cover:
- the Growth user allowance, which is the 40 licensed users shown above;
- the Growth connector allowance, so the sources you have connected today stay connected;
- pages, chat and search across everything the brain indexes;
- the dashboards builder, which your team has used to produce board-facing views;
- quarterly business reviews with Natalie, covering usage, value and any issues;
- the Growth availability commitment and the Growth first-response time for priority incidents;
- the nightly refresh, complete by 07:00 customer local time on business days.
Service credits under the Growth tier apply to availability only, exactly as they do under your current order form.
5. What we have not assumed
To be straightforward about the limits of this proposal:
- We have not assumed any change in the number of licensed users. If your team expects to grow or shrink its use of the brain, we can adjust the allowance or discuss an add-on for additional users.
- We have not assumed any new connectors. If you are planning to change a core system, such as your housing management platform or your helpdesk, please tell us early so we can plan the connector work and avoid a gap in the data.
- We have not assumed any change to how you want the brain used. If the business-intelligence team's priorities for the coming year are different, we would like to hear it.
6. Options you could consider
These are not part of the proposal and carry no commitment. They are simply the sensible alternatives we would expect you to weigh.
- Renew as proposed. Same tier, same users, same price. Least effort and no change to how your teams work.
- Renew with extra users. If more colleagues beyond the business-intelligence team want direct access, the additional users add-on can be priced separately.
- Move up a tier. Only worth discussing if you need company-wide rollout, single sign-on or the extra support that comes with Enterprise. We would not suggest it unless the need is real.
- Do not renew. If you are weighing an in-house platform, we would rather have the conversation openly now and help you with a clean handover of your data, which already sits in your own Snowflake account.
7. Timeline and next steps
| Step | Owner | When |
|---|---|---|
| Review this proposal internally | Calderbrook business-intelligence lead and finance team | Over the coming weeks |
| Walk-through call to answer questions | Tom Ashdown and Natalie Eze | Next week, at a time that suits you |
| Confirm renewal and any changes to users or connectors | Calderbrook | Well before the term ends on 1 Sep 2025 |
| Issue renewal order form for signature | Tom Ashdown | Once the above is agreed |
| Renewal term begins | BB-Demo and Calderbrook | Straight after the current term ends on 1 Sep 2025 |
We would like the paperwork settled comfortably before the end of the term so that nobody is rushing in the last week and your team never loses access.
8. Who to talk to
- Commercial questions, price and paperwork: Tom Ashdown, Account Executive.
- Adoption, usage and the quarterly reviews: Natalie Eze, your customer success manager.
Thank you for the last year. If there is anything we should be doing differently, now is the right time to say.
Cheers, Tom Ashdown Account Executive, BB-Demo
