BB-Demo's renewal proposal of 12 Jan 2026 for a Growth tier term ending 2 Apr 2026. It reports falling daily use against licensed users and prefers an adoption review before any decision. It states no price figure and no service levels.

What it is: a renewal proposal from Nell Ashcombe, marked final version 1, for the Growth tier. It says use has fallen and "We do not yet know why use has dropped."

Commits: nothing contractual. It proposes renewing "on the current price list" and says the subscription price does not change at this renewal, but gives no figure.

Unusual: the proposal offers to right-size the licence and prefers to "talk first" over signing. Invoices are described as paid on time.

Not settled: the current annual fee, the user allowance and the outcome are not stated. The term end of 2 Apr 2026 is before the as-of date, so the document does not show whether a renewal was signed or what happened after the adoption review.

Lornefield Pensions Administration - Renewal Proposal

Prepared by: Nell Ashcombe, Chief Executive Officer and Co-founder, BB-Demo Customer success manager: Daniel Okafor Date: 12 Jan 2026 Status: Final, version 1

1. Why we are writing

Lornefield has been a BB-Demo customer since 3 Apr 2023 and was one of our Year 1 design partners. Your current term ends on 2 Apr 2026. This paper sets out what we propose for the renewal and what we would like to talk through with you first.

You bought the brain so that scheme-relationship managers could see trustee calls, member-query tickets and fee invoices in one place. That is still the job we are here to do.

2. Where the contract stands

Contracted annual subscriptionThe current annual fee under your executed order form

Invoices are being paid on time and there are no overdue items. Thank you for that.

3. What the usage tells us

We would rather say plainly what we see than leave it for you to find.

Read the whole document (3,350 characters)
  • The number of people using the brain on a typical day is a small fraction of the licensed users, and it has fallen noticeably compared with the previous quarter.
  • Support contact has been light: two tickets in the last thirty days, neither high priority.
  • We do not yet know why use has dropped. It may be a change in team structure, a busy period, or the brain not being part of the weekly routine for some teams. The records do not tell us which.

A quiet ticket queue alongside fewer users is not something we want to read as good news by default. That one is on us to understand properly.

4. What we propose

  1. Renew on the Growth tier for a further annual term from the end of the current one, on the current price list. Your renewal falls before the date from which existing customers move to the newer price list, so the subscription price does not change at this renewal.
  2. Hold a conversation about users before you commit. If fewer seats are really needed, we would like to right-size the licence with you rather than renew a number that does not match how the brain is used.
  3. Run an adoption review with Daniel over the coming weeks: which teams ask questions, which do not, and which connected sources matter most to scheme-relationship managers.
  4. Agree one measure of value that you can show your own leadership, for example questions asked by relationship managers before trustee meetings.

5. Options for you

OptionWhat it means
Renew as isSame tier, same allowance, new annual term
Renew and right-sizeSame tier, user allowance adjusted to real use
Talk firstAdoption review before any decision on the term

We are happy with any of the three. Our preference is to talk first, because a renewal is only worth signing if the brain is earning its place on Monday mornings.

6. Next steps

  • Daniel will contact your team this week to set up the adoption review.
  • I will join the first conversation, so that commercial questions can be answered on the spot.
  • We will bring a short summary of findings and a recommended option well ahead of the term end.

Best, Nell
