1. Why we are writing
Lornefield has been a BB-Demo customer since 3 Apr 2023 and was one of our Year 1 design partners. Your current term ends on 2 Apr 2026. This paper sets out what we propose for the renewal and what we would like to talk through with you first.
You bought the brain so that scheme-relationship managers could see trustee calls, member-query tickets and fee invoices in one place. That is still the job we are here to do.

3. What the usage tells us
We would rather say plainly what we see than leave it for you to find.

- The number of people using the brain on a typical day is a small fraction of the licensed users, and it has fallen noticeably compared with the previous quarter.
- Support contact has been light: two tickets in the last thirty days, neither high priority.
- We do not yet know why use has dropped. It may be a change in team structure, a busy period, or the brain not being part of the weekly routine for some teams. The records do not tell us which.
A quiet ticket queue alongside fewer users is not something we want to read as good news by default. That one is on us to understand properly.
4. What we propose
- Renew on the Growth tier for a further annual term from the end of the current one, on the current price list. Your renewal falls before the date from which existing customers move to the newer price list, so the subscription price does not change at this renewal.
- Hold a conversation about users before you commit. If fewer seats are really needed, we would like to right-size the licence with you rather than renew a number that does not match how the brain is used.
- Run an adoption review with Daniel over the coming weeks: which teams ask questions, which do not, and which connected sources matter most to scheme-relationship managers.
- Agree one measure of value that you can show your own leadership, for example questions asked by relationship managers before trustee meetings.
5. Options for you

We are happy with any of the three. Our preference is to talk first, because a renewal is only worth signing if the brain is earning its place on Monday mornings.
