What it says
What this says
Current to 11 Oct 26Final renewal proposal from Tom Ashdown dated 2 Oct 2026. It offers one further annual Growth term at an annual price of fifty thousand pounds, against the current forty-four thousand, with an adoption plan. It states no availability or P1 response figures.
What it is: a renewal proposal from Tom Ashdown to Brackwell Freight's leadership team. The current Growth term runs to 30 Nov 2026, and the proposal seeks one further annual term.
Commits: "The annual price is fifty thousand pounds, compared with the current forty-four thousand." Billing is annually in advance on thirty-day terms.
Unusual: the proposal is candid about weak adoption, with "only around four people" active against forty licensed users. It also says any first-term discount ends at renewal and no new one is applied.
Not settled: it is a proposal, not an executed order form, so nothing is agreed. It gives no service levels, and any change to users or connectors is left to the adoption discussion.

Body
Brackwell Freight Ltd - Renewal Proposal
Status: Final
From Tom Ashdown, Account Executive, BB-Demo, to the leadership team at Brackwell Freight Ltd.
Date: Friday 2 October 2026
Account CSM: Marcus Bell
1. Why we are writing
Your current Growth subscription runs to 30 Nov 2026. Brackwell Freight has been with BB-Demo since Friday 1 December 2023, and we would like to renew it for a further annual term. This proposal sets out the price, what stays the same, and a short adoption plan so that the next year is better used than this one.
We would rather be straight with you than send a plain price letter. Usage has softened over recent months, and a renewal that ignores that would not be a good one for either of us.
2. Where the account stands today
| Item | Position |
|---|---|
| Tier | Growth |
| Annual recurring revenue (contracted) | forty-four thousand pounds |
| Licensed users | forty |
| Term end | 30 Nov 2026 |
| Overdue invoices | None |
| Support tickets in the last month | One, and not high priority |
| High-priority tickets in the last month | None |

Payments have been on time throughout, and the support picture is quiet. The concern is adoption rather than service.
3. What the usage tells us
- On an average day only around four people have been active in the brain, against forty licensed users.
- Active users are down by roughly a quarter compared with the previous quarter.
- A quiet ticket queue alongside a shrinking user base can mean contentment, but here we read it as people drifting away from the brain rather than struggling with it.
The brain was bought so that revenue operations and depot account managers could see accounts, delivery-exception tickets and calls together and spot at-risk retail contracts early. That only works when the depot teams are in it daily. At the moment, too few of them are.
4. Proposed renewal
| Line | Detail |
|---|---|
| Tier | Growth |
| Term | One further annual term, starting the day after the current term ends |
| Included | Growth user and connector allowances, pages, chat and search, the dashboards builder and quarterly business reviews |
| Annual price | fifty thousand pounds |
| Billing | Annually in advance, thirty-day terms |
| Deal amount | fifty thousand pounds |
The annual price is fifty thousand pounds, compared with the current forty-four thousand. This is the current Growth list price, which applies to renewals of agreements signed under the earlier price book. Any first-term discount from your original agreement ends at renewal, and we have not applied a new one.
We appreciate that a higher price alongside lower usage is a hard conversation. That is why the adoption plan below is part of the proposal rather than an optional extra.
5. Adoption plan
| Phase | What happens | Owner |
|---|---|---|
| Review | Walk through which depots and teams were using the brain and who stopped, and agree what a good month looks like | Marcus Bell with your operations lead |
| Re-launch | Short sessions for depot account managers on the questions that matter to them, such as exception patterns and at-risk retail contracts | Marcus Bell |
| Champions | Name a champion at each depot who asks and shares questions with their peers | Brackwell Freight |
| Check-in | Review usage at the next quarterly business review and decide whether the allowances still fit | Marcus Bell and Tom Ashdown |
If the review shows that fewer licensed users would suit you better, we would rather discuss that openly than have you carry seats nobody uses.
6. Next steps
- Tom Ashdown and Marcus Bell to arrange a call with your sponsor in the next week or so.
- Agree the adoption plan and any change to users or connectors.
- Confirm the renewal in good time before 30 Nov 2026 so there is no gap in service.
If anything in this proposal does not match your own picture of the year, please say so. We would rather correct it now.
Best, Tom
Tom Ashdown Account Executive, BB-Demo
