What it is: a final, version one renewal proposal from Tom Ashdown, Account Executive, to Brackwell Freight. It proposes "a further annual term, starting the day after the current term ends on 30 Nov 2025, with no change to tier, scope or price."
Commits: the price is held at "Forty-four thousand pounds" annually, with billing "annually in advance, on our standard payment terms". Quarterly billing is available on request, and there is no implementation fee.
Unusual: the price is held flat. The text does not mention the v2 price list, which the company brief says applies at a first renewal starting on or after 1 Jul 2026. Written in Oct 2025, the proposal predates that point.
Not settled: this is not executed paper. The renewal order form is only to be issued "Once you confirm you are happy", and the text does not show whether it was signed. Headroom ideas (wider adoption, another team) are outside the renewal figure.

1. Why you are reading this
Brackwell Freight has been a BB-Demo customer since 1 Dec 2023. Your current Growth subscription runs to 30 Nov 2025, and this proposal sets out what we would like to renew, on what terms, and what happens next. It is deliberately short on surprises: the tier, the shape of the service and the annual price stay as they are today.
The brain was bought so that revenue operations and the depot account managers could see accounts, delivery-exception tickets and calls together, and spot at-risk retail contracts early. That is still the job we are renewing it to do.

A few observations from the last month or so:
- A small core of regular users is asking questions of the brain in a typical month, well inside the licensed number. Activity is broadly stable and a little up on the prior quarter.
- No tickets were raised in the last month, and none were high priority.
- Your account is fully paid up, with nothing overdue.
That is a quiet, healthy account. It also means the licence has room, which we come back to below.
3. What we propose
We propose to renew the Growth subscription for a further annual term, starting the day after the current term ends on 30 Nov 2025, with no change to tier, scope or price.

The renewal value matches your current contracted annual recurring revenue exactly. There is no implementation fee on a renewal, because the brain is already built and running inside your own Snowflake account.
4. What you keep
- The Growth tier and all forty licensed users.
- The Growth connector allowance, so the systems already feeding the brain stay connected.
- The Growth service levels for availability, first response on priority tickets and the nightly refresh.
- Quarterly business reviews with Marcus.
- Your data, which stays in your own Snowflake account throughout.
5. Billing and term
- Term: one year, renewing the existing arrangement under the same master agreement.
- Billing: annually in advance, on our standard payment terms. Quarterly billing is available on request if that suits your finance team better.
- Price: as set out above, held at the level you pay today.
6. Where there is headroom
You do not need to change anything to renew. Since the licence has room, though, there are two things worth a conversation, with no obligation:
- Wider adoption. More of the depot account managers could be using the brain day to day. Marcus can look at which depots are asking the fewest questions and run a short working session with them.
- Another team. If another function, such as finance or customer service, would benefit from seeing the same picture, the Growth tier is built for several teams and we can talk through how to bring them in.
Neither of these changes the renewal figure above. If you want to take either forward, we would scope it separately.
