What this says
Current to 11 Oct 26Discovery with Cadnam Rise Recruitment on 4 Jul 2025. The managing director and operations manager described manual reporting across CRM, Airtable and finance. Starter was quoted at twenty-eight thousand for year one and a demo was agreed.
What happened: Lewis Kerr ran discovery with Phoebe Lacey and Duncan Ealey on 4 Jul 2025. Both described placement, revenue and candidate data split across a recruitment CRM, email, Airtable and spreadsheets.
Customer view: Duncan said accurate reporting would take an hour instead of half his week. Phoebe's sharpest pain is candidate tracking without asking three places.
Commercial: Lewis positioned Starter at a first-year contract value of twenty-eight thousand, including setup, four connectors and six-monthly check-ins. Duncan called it tight for budget but do-able if it delivers.
Watch: The fourth connector was left open (Airtable or a call recorder). Budget is the stated constraint, and the demo on real CRM and Xero data is the next gate.

Next steps
Current to 9 Oct 26- Lewis Kerr to send demo dates and arrange a demo on the customer's own CRM and Xero data.
Risks
Current to 9 Oct 26- Duncan Ealey called the quoted first-year value tight for budget.
- The fourth Starter connector was not settled: Airtable, a call recorder or something else.
Opportunities
Current to 9 Oct 26- Starter fits a six-person team that needs CRM, email and Xero in one queryable layer.
- Both leaders described weekly manual work that the brain would remove, which gives a clear value case.
Transcript
- Lewis Kerr NoneGood afternoon, Phoebe, Duncan. Thanks for the time. I wanted to understand your business: how you run placements, track pipeline, and where you might need better visibility.
- Phoebe Lacey NoneGood question. We're in maritime and engineering recruitment on the South Coast. We've grown from a couple of people to a team of six over the past couple of years, and our systems haven't kept up.
- Lewis Kerr NoneTell me more. What systems do you have?
- Phoebe Lacey NoneWe use a recruitment CRM for candidate and client pipeline. We have email, obviously. We use a bit of Airtable for tracking placements. And Duncan has some spreadsheets for financials.
- Duncan Ealey NoneYeah, it's a bit of a mess. The challenge is that a placement involves a candidate, a client company, invoicing, and follow-up. All of that lives in different places.
- Lewis Kerr NoneRight. So if you wanted to report on a particular candidate's placement history, or what a client's spent with you, where do you go?
- Phoebe Lacey NoneI end up in the CRM, then cross-referencing the Airtable, then checking with Duncan on invoices. It's manual and slow.
- Lewis Kerr NoneHow often are you doing that?
- Phoebe Lacey NoneWeekly, honestly. I need to report to Duncan on placements, where we stand on revenue, pipeline. And clients ask for placement histories.
- Duncan Ealey NoneAnd I spend time every week pulling together numbers for board reports or client invoicing. If we had a system that could answer those questions without the manual work, that'd be massive.
- Lewis Kerr NoneOkay. So if I said you could ask one system: where are all placements for client X, where's the revenue, where's the candidate status, would that change your week?
- Duncan Ealey NoneCompletely. I could run accurate reporting in an hour instead of half my week.
- Phoebe Lacey NoneAnd Duncan could get my reports in real time instead of waiting for me to pull data.
- Lewis Kerr NoneRight. And your IT setup, is there anything that would make it hard to connect your systems?
- Duncan Ealey NoneNo. We're in the cloud already. CRM is cloud, email is Google Workspace, financials are in Xero. Should be straightforward.
- Lewis Kerr NoneGood. That makes it simpler. So where's your pain most acute right now?
- Phoebe Lacey NoneCandidate tracking. We have candidates in the pipeline, interviews happening, offers being made. I need to know the status of everything without asking three different places.
- Lewis Kerr NoneAnd do you forecast? Like, how many placements you'll make this quarter?
- Duncan Ealey NoneWe try. But it's hard to be confident because the data isn't coherent. If I could see offers, interview progress, and invoiced placements all in one view, I could forecast accurately.
- Lewis Kerr NoneUnderstood. And what about your team, how many people would actually use this?
- Phoebe Lacey NoneProbably a few of us on my side. Duncan and I definitely. Maybe a couple of admins if we had capacity.
- Lewis Kerr NoneOkay. So a small team, but you all need access. What if I told you we had something designed for exactly that: a conversational query layer that sits on top of your CRM, email, and finance, and you can ask it questions in plain language?
- Duncan Ealey NoneThat sounds useful. What would that cost?
- Lewis Kerr NoneWe'd be looking at Starter tier. Contract value is twenty-eight thousand for the first year, which includes the setup, four connectors, training, and a check-in every six months. Year two onwards is subscription only.
- Phoebe Lacey NoneSo the connectors: that's CRM, email, Xero, and what else?
- Lewis Kerr NoneThose three, plus one more. Could be your Airtable, could be a call recorder if you record client conversations, or something else you tell us. We'll scope it during the process.
- Duncan Ealey NoneAnd what does Starter actually get us in terms of features?
- Lewis Kerr NoneSearch and chat, you ask questions. Basic dashboards, you can visualise placement rates, candidate pipelines, revenue over time. Documentation, and support during business hours.
- Phoebe Lacey NoneHow long to implement?
- Lewis Kerr NoneFour weeks. So if we started in August, you'd be live by early September.
- Duncan Ealey NoneThat's tight for budget, but it's do-able if it delivers. What's the next step?
- Lewis Kerr NoneI'd recommend we run a demo on your real data. You see it querying your CRM and Xero live, and get a feel for whether it's a fit. That's the best way to know if it's worth the investment.
- Phoebe Lacey NoneOkay. How do we set that up?
- Lewis Kerr NoneI'll send you a couple of dates next week. Hannah, our solutions engineer, runs the demos. She'd need read-only access to your CRM and Xero. We'd give you an hour to see it in action.
- Duncan Ealey NoneSounds good. Let's do it. Send the dates over.
- Lewis Kerr NoneWill do. I'll send those options by end of next week and you can pick what works. After that, if you're interested, we'll move to a demo and then a proposal. Sound okay?
- Phoebe Lacey NonePerfect. We're keen to get this sorted.
- Lewis Kerr NoneBrilliant. I'll be in touch. Thanks, both.
