Current to 11 Oct 26Kickoff for Marchbank Couriers on 4 Dec 2023. Callie Brennan set out the setup plan; Lorna Wishart agreed to chase IT for read-only credentials, the critical path. Target go-live was late December or early January.
What happened: Callie Brennan walked Lorna Wishart through credentials, a mapping document, a test refresh, training and then live refresh. Daniel Okafor joined to cover training and the handover from implementation to customer success.
Customer view: Lorna was cooperative and asked practical questions about timing and effort. She raised no concerns about value, price or rivals.
Commercial: Daniel said BB-Demo would check in at six months and a year to understand if the customer wants more users or connectors. That is a growth route on the subscription, not a stated need.
Watch: Go-live depends on Lorna getting credentials from IT, and the transcript does not show that they were delivered. Three systems were named: helpdesk, CRM and tracking.

Transcript
- Callie Brennan NoneMorning Lorna, thanks for taking the time. I'm Callie from the implementation side. So here's what we're doing today, we're kicking off your BB-Demo setup. I'll walk through the plan, we'll check you've got everything you need from your side, and I'll get credentials from you so we can start connecting your systems.
- Lorna Wishart NoneBrilliant. What do you need from us?
- Callie Brennan NoneGood question. So before we switch on the refresh, I need read-only credentials for your helpdesk, your CRM, and your tracking system. API keys, database connection strings, that sort of thing. Can you get those?
- Lorna Wishart NoneI can reach out to IT and chase those down.
- Callie Brennan NonePerfect. Those are going to be crucial. Once I have them, I'll test the connections from our end, usually takes a day or two, and then I'll come back to you with a mapping document. That shows which fields from your systems map to what we're calling them in the brain. You review it, flag anything that doesn't look right, and we iterate.
- Lorna Wishart NoneHow long does that take?
- Callie Brennan NoneUsually a week or so, depending on how complex your data is. For you, with three systems, I'm guessing it'll map cleanly. But if there are any oddities, like if your CRM has two different fields for customer name, we'll need to sort that.
- Daniel Okafor NoneAnd Lorna, once Callie's done that mapping, she'll set up a test refresh. You'll get a test view of the brain with your data in it. That's where you really see the value.
- Lorna Wishart NoneWhen does that happen?
- Callie Brennan NoneOnce we've confirmed the mappings and done the initial data pull, probably two weeks from now. Then we do a test refresh, you poke around, make sure it looks right. If it does, we move to live refresh.
- Lorna Wishart NoneAnd the go-live?
- Callie Brennan NoneOnce we switch on the live refresh, the data updates every night at seven in the morning. Your team can start searching and using the brain the same day. We'll do a training session with the team before that: probably a couple of hours walking through how to search, chat with it, that kind of thing.
- Daniel Okafor NoneAnd I'll be on those training calls as well to make sure everyone's feeling confident. After go-live, Callie's going to leave you a setup note, basically a manual for your team to refer to if something comes up.
- Lorna Wishart NoneOkay, that sounds good. Timeline-wise, where are we?
- Callie Brennan NoneSo you signed on 24 November. We're kicking off today. I'd say we're targeting a go-live in the third or fourth week of December: so just before Christmas, or early January depending on how quickly we get the credentials and move through the mapping.
- Lorna Wishart NoneThat works. And then you're done, you hand over to Daniel?
- Callie Brennan NoneExactly. Once we go live and the first refresh lands, I step back and Daniel takes it from there. Any issues or questions, you'd reach out to Daniel or our support team. But that's the theory, once it's live, you shouldn't need much from me.
- Daniel Okafor NoneYep. And then we'll check in with you at six months and a year to make sure the brain's still delivering and understand if you want to grow: more users, more connectors, that kind of thing.
- Lorna Wishart NoneGood. So what do I do first?
- Callie Brennan NoneGet me the credentials, reach out to IT today if you can. Send them to me as securely as you can: encrypted email is fine, or a password manager. Once I have those, I'll send you the mapping document within a couple of days. That's the critical path.
- Lorna Wishart NoneI'll chase IT today and get back to you.
- Callie Brennan NonePerfect. Cheers. I'll be in touch early next week with an update. Any questions before we wrap?
- Lorna Wishart NoneNo, I think that's clear. Thanks, Callie and Daniel.
- Daniel Okafor NoneCheers, Lorna. We're excited to get you live. Just to close the loop, I'll send you the training schedule once Callie's got a better sense of timing. Speak soon.
- Callie Brennan NoneThanks, Lorna. Talk soon.
