What this says
Current to 12 Oct 26Ollie Pearson ran an onboarding training call for Orla Keane and Ciara Joyce at Moycullen Recruitment. They were positive and ready to log in. Handover to Amara and a quarterly check-in were promised.
What happened: On the 31 Jul 2026 training call, Ollie walked Orla and Ciara through search, saved queries and the dashboard builder on their Salesforce data. He set both of them up as admins.
Customer view: Orla said the data came through quickly and that the session had been clear. Both asked practical questions about saving queries, dashboards, data history and security.
Commercial: Ollie told them they are on 15 users and that Amara can add more. He promised quarterly check-ins, but the evidence does not show their tier, and 15 users matches the Starter allowance, where the check-in is six-monthly.
Watch: Amara's first contact was promised for the following day or the day after. The evidence does not show that it happened.

Next steps
Current to 9 Oct 26- Amara to make first contact and run the check-in promised for the day after the training.
- Orla and Ciara to log in, build their dashboards and add the rest of the team.
Risks
Current to 9 Oct 26- Ollie promised quarterly check-ins, while the Starter tier includes a six-monthly check-in, so expectations may not match the contract.
- The handover to Amara relies on her contacting them within a day or two, and the evidence does not show that it happened.
- Only two admins exist so far, and adoption by the wider team is still to come.
Opportunities
Current to 9 Oct 26- Orla plans a leadership dashboard and an operational dashboard, which would show early investment in the brain.
- Ciara asked about adding more users, so wider team rollout could lead to a request for extra users.
Transcript
- Ollie Pearson NoneHi both, thanks for joining. How are you getting on? All the data came through okay?
- Orla Keane NoneYes, it did. That was quick.
- Ollie Pearson NoneGood stuff. So today I want to show you how to actually use the brain. I'll go through the search, the dashboard builder, how to save questions. By the end, you should feel pretty comfortable asking questions on your own. Let me share my screen.
- Ciara Joyce NoneOkay, can you see that?
- Ollie Pearson NoneYes, I can see your data's all loaded. Right, so this is the main interface. You've got a search bar at the top, and below that your recent saves and a few example queries. Let me run through what you can actually do. Say you wanted to find all the placements you've made in the last three months, you'd type that into the search.
- Ollie Pearson NoneSo I'll search for placements from the last quarter. Watch what happens.
- Orla Keane NoneOh, that's quick. It's giving you a table?
- Ollie Pearson NoneExactly. It's pulling from your Salesforce: the opportunity records, the contacts, everything, and showing you a summary. You can click into any row to see more detail. So this is one placement, you can see the client, the candidate name, the role, the status. Now, what if you wanted to follow up? You'd click here and the brain would show you all the related records: invoices, communications, the lot.
- Ciara Joyce NoneSo it's joining the data for you?
- Ollie Pearson NoneThat's the whole thing, yeah. Normally you'd have to search Salesforce, then go into the accounting system, piece it together by hand. The brain does that joining for you. You ask the question once, you get the answer.
- Orla Keane NoneWhat if we want to save that query? Can other people use it?
- Ollie Pearson NoneYes. Once you've run a query, there's a Save button. You give it a name, and then it's available to anyone in your account. So if you create a query called 'Placements this quarter', Ciara can run it next week and it'll always pull the latest data.
- Ciara Joyce NoneThat's useful.
- Ollie Pearson NoneRight, so that's the search. Now let's talk dashboards. A dashboard is a set of charts and numbers that you want to check regularly. Say you wanted a dashboard that shows your placements by client, the revenue, the open opportunities, anything visual. You'd go to the dashboard builder and select your metrics.
- Ollie Pearson NoneLet me show you. You click 'New Dashboard' and you get a blank canvas. Then you drag in visualizations. So I might add a bar chart of placements by client. I can filter it by date range, by client, whatever you want.
- Orla Keane NoneAnd does it update automatically?
- Ollie Pearson NoneEvery morning. Because the data refreshes nightly, your dashboard will show everything through yesterday. So if you check your dashboard first thing, it's completely up to date.
- Ciara Joyce NoneCan you build multiple dashboards?
- Ollie Pearson NoneAbsolutely. You might have one for management, high-level numbers. Another for the team, what they need to see. You can share them, or keep them private. It's up to you.
- Orla Keane NoneOkay. So I'd probably create one for the leadership team and then one for operational stuff?
- Ollie Pearson NoneExactly. One board with your KPIs: placements by month, revenue pipeline, that sort of thing. And then another for day-to-day: which clients are owed follow-ups, invoices pending, anything your team needs to act on.
- Ciara Joyce NoneHow hard is it to build a dashboard?
- Ollie Pearson NoneDead easy. It's drag and drop. Pick your visualization, click the data you want, set any filters, and you're done. If you get stuck, there's a help guide, or you can reach out to Amara once I've handed you over.
- Orla Keane NoneWhen do I hand over to Amara? Is that today?
- Ollie Pearson NoneShe'll be in touch tomorrow or the day after. She'll do a check-in, introduce herself, and from then on she's your point of contact for anything you need. Quarterly check-ins to make sure you're getting value, any technical issues, training for the rest of the team, that's all her.
- Ciara Joyce NoneAnd she'll see our usage and know what we're using the brain for?
- Ollie Pearson NoneYes. She can see which queries you're running, how often the team is using it, that sort of thing. So she'll be able to give you tips on what else you could be doing with it.
- Orla Keane NoneThat sounds good. Can I ask a question about data? Is all our Salesforce data in there, or just the last year or something?
- Ollie Pearson NoneAll of it. We synced your full history, five, six years of records. So if you want to search placements from three years ago, that data is there.
- Ciara Joyce NoneWhat about if we add new data to Salesforce today? When does that appear in the brain?
- Ollie Pearson NoneTonight's sync. So if you add an opportunity this afternoon, it'll show up in the brain by 07:00 tomorrow morning. It's completely automatic.
- Orla Keane NoneBrilliant. And the security side, is our data safe? It's all in our Snowflake account?
- Ollie Pearson NoneYes. The brain runs inside your Snowflake. We can't see your data. Access is managed by you, who has a username and password gets into the brain. It's the same as any other tool on your system.
- Ciara Joyce NoneGood. And if we need to add more users later?
- Ollie Pearson NoneYou're on 15 users with your plan. If you need more, you just let Amara know and we can add them. Easy as that.
- Orla Keane NoneOkay. So I'm ready to give it a go. How do I log in?
- Ollie Pearson NoneI'll send you a link by email, and I've also set up logins for you and Ciara. So you'll both be admins to start: you can add other team members, manage permissions, all that. You just click the link in the email and log in with the credentials we set up.
- Ciara Joyce NoneWill we need to change the password or anything?
- Ollie Pearson NoneWhen you first log in, it'll ask you to set a new password. Standard security thing. Then you're in.
- Orla Keane NonePerfect. And I can add the rest of the team when I'm ready?
- Ollie Pearson NoneExactly. There's an admin panel where you can add users by email. You set their role: whether they can query, build dashboards, whatever, and you're done.
- Ciara Joyce NoneAny other things we should know?
- Ollie Pearson NoneA couple of things. First, if you change something in Salesforce, say you rename a field or delete a record, the brain will update that tonight in the sync. So it's always reflecting your live data. Second, if something looks wrong or the data doesn't match Salesforce, let Amara know. That's usually a sign the sync needs a tweak.
- Orla Keane NoneAnd the search, is it case-sensitive or anything annoying like that?
- Ollie Pearson NoneNo, it's pretty forgiving. You can type in natural language...'show me placements from acme corp', and it figures out what you mean. If you're more specific, like 'placements from acme corp in the last month by fee', it'll do that too.
- Ciara Joyce NoneOkay, I think we're pretty clear. When should we expect to see Amara?
- Ollie Pearson NoneTomorrow or Thursday. I'll send her a handoff note today with all your details. She'll reach out and you can chat about how you want to use the brain, what questions you need answered, that sort of thing.
- Orla Keane NoneGreat. Thanks so much, Ollie. This has been really clear.
- Ollie Pearson NoneCheers. You've got the login link in the email I sent earlier, so you can have a play around before Amara calls. Don't worry if you have questions, that's what she's there for.
- Ciara Joyce NoneThanks, Ollie.
- Ollie Pearson NoneSpeak soon.
