What this says
Current to 11 Oct 26Julia Hartmann and Tim Schröder of Kesselfeld Software tested the Growth tier on sync timing, volume, users and connectors in the 11 Nov 2025 demo. Florian Becker's sign-off on the proposal was the next gate.
What happened: Matteo Ricci and Hannah Lowe took Julia and Tim through sync timing, failure alerts, record volume, concurrent users and connector headroom. Tim also asked about single sign-on.
Customer view: Kesselfeld has about a hundred thousand Salesforce records and four connectors scoped. Tim said he would loop in IT that day.
Commercial: The deal is Growth with 40 users and eight connectors, so four connectors are spare. Julia was to take the proposal to Florian Becker for sign-off on the commercial terms, then a security questionnaire and order form follow.
Watch: Hannah said SSO is Enterprise only, and her statements on accuracy and no throttling were verbal. The call does not show whether sign-off or an order form followed.

Follow-up
Next steps
Current to 9 Oct 26- Julia Hartmann to take the proposal to Florian Becker for sign-off by end of that week.
- Hannah Lowe to send Tim Schröder the security questionnaire the same day.
- Matteo Ricci to follow up with Julia and Tim by end of that week.
Risks
Current to 9 Oct 26- SSO is Enterprise only, so Tim's single sign-on question may not be met on Growth.
- Sign-off sits with Florian Becker, who was not on the call.
- The security questionnaire from the customer's IT team could delay the order form.
Opportunities
Current to 9 Oct 26- Four spare connectors on Growth leave room to add analytics data later.
- Tim's SSO question could open an Enterprise discussion.
Transcript
- Matteo Ricci NoneHi Julia, Tim, great to hear from you. I've got Hannah with me today, she's our solutions engineer, and she's going to dive deeper into some of the technical questions that came up from the last demo. How are you both?
- Julia Hartmann NoneGood, thanks. Yeah, we had some great feedback internally. There are a few things we want to dig into.
- Tim Schröder NoneYeah, and I've reviewed the architecture doc Anya sent over. Good questions from my side.
- Hannah Lowe NonePerfect. To be precise, I'm here to make sure the architecture works for you. What questions do you have?
- Tim Schröder NoneSo the connector sync, you said it's nightly. What if there's a delay? Like, what if Salesforce is slow one night?
- Hannah Lowe NoneGood question. The nightly sync is scheduled for after hours to avoid any impact on your daytime usage. If Salesforce is slow, we'll wait for it to respond, the sync won't fail, it might just run later. But we aim to have everything indexed by 07:00. If we miss that window, we'll notify you immediately.
- Tim Schröder NoneAnd if a sync fails: like, the API key expires or something?
- Hannah Lowe NoneWe monitor all connectors in real time. If a sync fails, we'll send you an alert and diagnose it. Usually it's a permissions issue or an API change on their end. We have a playbook for most scenarios.
- Julia Hartmann NoneWhat about data volume? We're not huge, but we do have maybe a hundred thousand customer records in Salesforce and that number's growing. Will the brain handle that?
- Hannah Lowe NoneAbsolutely. We handle customers with millions of records. A hundred thousand is well within the scope of what you're licensed for on Growth tier. We've tested at scale and there's no problem.
- Tim Schröder NoneOkay. And concurrent users, how many people can be asking questions at the same time?
- Hannah Lowe NoneGrowth tier is 40 licensed users. You can have multiple concurrent queries from those users. We don't throttle or limit concurrent questions, so if all 40 were asking at once, that's fine. There's no degradation.
- Julia Hartmann NoneGreat. So another thing, can we add more connectors later? Like, we've scoped four now, but what if we want to add analytics data or something else?
- Hannah Lowe NoneYeah, Growth tier includes eight connectors. You're using four, so you've got four more available. We can add them whenever you want, either during implementation or after go-live. It's straightforward, usually just needs credentials and a quick validation.
- Tim Schröder NoneAnd what about user management? Do you handle single sign-on?
- Hannah Lowe NoneSSO is available on Enterprise tier. On Growth, you manage users through API keys and individual access tokens. It's straightforward, our implementation team will walk you through it.
- Julia Hartmann NoneOkay. One more technical thing, how do we know the data's accurate? Like, what if the brain misunderstands a query?
- Hannah Lowe NoneThe short answer is: the brain doesn't misunderstand structured data. It's searching your actual records, not interpreting free text. So if you ask 'show me customers with zero calls in the last month,' it's literally querying your call logs. The longer answer is that if there's an edge case, a weird naming convention, a data quality issue, we can adjust the logic.
- Tim Schröder NoneAnd who maintains that logic?
- Hannah Lowe NoneDuring implementation, that's our implementation team. After go-live, your customer success manager maintains it. If they can't, they escalate to me.
- Julia Hartmann NoneAlright, I think that covers the technical side. So timeline, where are we?
- Matteo Ricci NoneSo you've got the proposal from last week. You need to get Florian's sign-off on the commercial terms. Once you approve, we'll send a security questionnaire for your IT team: that's pretty standard, just about our infrastructure and compliance. Once they're happy, we do an order form and we kick off implementation.
- Julia Hartmann NoneHow long's the security questionnaire?
- Matteo Ricci NoneUsually takes IT a week or so to complete. Once we have that, Hannah and I can review it and we're pretty quick to turn around a response. Usually all cleared within two weeks.
- Tim Schröder NoneOkay. I'll start prepping our IT team for that. Can you send me the questionnaire anyway so I can get them thinking about it?
- Hannah Lowe NoneAbsolutely. I'll send it today. It's not very long, maybe three pages. Just stuff about our controls, data residency, that sort of thing.
- Julia Hartmann NonePerfect. So I'm going to take the proposal to Florian today, hopefully get sign-off by end of week. Then we're ready to move?
- Matteo Ricci NoneThat's the plan. If you can get us a green light by end of week, we'd send the security questionnaire and the order form at the same time. Your IT team completes the questionnaire over the next week or so, you sign the order form, and we're off to the races.
- Julia Hartmann NoneAnd once it's signed, how quickly do you start?
- Matteo Ricci NoneWe kick off within a few days. Our implementation team becomes your point person and you'll have your first call to plan out the implementation timeline.
- Tim Schröder NoneGood. I think we're ready. I'll loop in IT today.
- Matteo Ricci NoneBrilliant. So next step: Julia takes the proposal to Florian, Tim preps IT, and we'll follow up with you both by end of week to see where you're at.
- Julia Hartmann NoneSounds good. Thanks for the thorough technical walkthrough, Hannah.
- Hannah Lowe NoneThanks, Julia. If anything else comes up, just reach out. I'll get that questionnaire to Tim today.
- Matteo Ricci NoneCheers, both. Speak soon.
