Onboarding call on 17 Jul 2023. Connectors are live and data looks clean, but Callie Brennan found a week-long gap in client invoice data. Kayleigh Roberts is to check the Xero sync before go-live and training.

What happened: Callie Brennan reported Salesforce, Xero and Snowflake connectors live with nightly pulls, then flagged about a week where client invoices did not sync.

Customer view: Kayleigh Roberts suspected Snowflake maintenance around that time and agreed to investigate. Jade Kenwright asked about go-live and training dates, and said the team was pretty excited.

Commercial: Callie noted almost no active use so far, only BB-Demo testing and customer sign-off. She reminded Jade that fifteen users are included and BB-Demo wants them all using it.

Watch: go-live is gated on the sync check and a final validation pass. Daniel Okafor was not on this call.

Follow-up

Next steps

Current to 9 Oct 26
  • Kayleigh Roberts to check the Xero sync this week.
  • Callie Brennan to complete final validation and go live by the end of next week.
  • Callie Brennan to send date options for the team training session next week.

Risks

Current to 9 Oct 26
  • A week of client invoice data did not sync and the cause is not yet known, so historical data may need a separate pull.
  • Go-live and training both wait on the sync check and final validation, so slippage would delay adoption.

Opportunities

Current to 9 Oct 26
  • Fifteen users are included and almost none are active yet, so training is the lever for adoption.
  • Jade is enthusiastic and will brief the team before training.

Morning, Kayleigh, Jade. Good to catch up. So we're a few weeks into implementation now, I wanted to talk through where we are and flag a couple of things that need attention. Kayleigh, you OK if I start with the technical side?
  2. Kayleigh Roberts
    Kayleigh Roberts None
    Yeah, go ahead.
  3. Callie Brennan
    Callie Brennan None
So the connectors are all live, Salesforce, Xero, Snowflake. The first full refresh ran a few weeks ago, and we've been doing nightly pulls since. The good news is the data looks clean, no obvious gaps or weird mappings. Before we switch on the refresh for your team, I want to do one more validation pass. Should take a day or two.
  4. Kayleigh Roberts
    Kayleigh Roberts None
OK. And everything's working on the Snowflake side? No performance issues?
  5. Callie Brennan
    Callie Brennan None
Nope, all looking good. The brain's lightweight, shouldn't add any load to your warehouse. The refresh is set to run at two in the morning, so no overlap with your daytime activity.
  6. Jade Kenwright
    Jade Kenwright None
Great. So when can we actually start using it? When do the team get access?
  7. Callie Brennan
    Callie Brennan None
That's, I want to be careful here. Technically we could turn it on next week. But I want to do proper training first, so everyone understands how to use it. And there's one other thing I need to flag.
  8. Jade Kenwright
    Jade Kenwright None
    OK, what?
  9. Callie Brennan
    Callie Brennan None
So, during the data pull, I noticed something. Your Salesforce is syncing fine, Xero is syncing fine. But there's a gap in the client invoice data. About a week where invoices didn't sync. I don't know if that's on your end, maybe a Xero sync broke, but it's worth checking.
  10. Kayleigh Roberts
    Kayleigh Roberts None
Hmm. We did have some Snowflake maintenance around that time, I'll look into whether that broke the sync. Which week was it?
  11. Callie Brennan
    Callie Brennan None
Late May, I can send you the exact date range in an email, but it's about seven days where records stopped coming through. If you can check whether the sync is working now, that'd be great. And if it's broken, we might need to pull historical data separately.
  12. Kayleigh Roberts
    Kayleigh Roberts None
Yeah, I'll dig into that. Shouldn't be hard to fix.
  13. Jade Kenwright
    Jade Kenwright None
OK. And once that's sorted, we're good to go live?
  14. Callie Brennan
    Callie Brennan None
Pretty much, yeah. Once Kayleigh's checked the sync, I'll do the final validation and we'll flip the switch. Probably end of next week.
  15. Jade Kenwright
    Jade Kenwright None
Brilliant. And then the team training, when does that happen?
  16. Callie Brennan
    Callie Brennan None
I'll do a session once the brain is live: walk your team through how to ask questions, build dashboards, all that. Probably take an hour, hour and a half. We can do it end of this week if you like, or next week?
  17. Jade Kenwright
    Jade Kenwright None
Next week is better, gives me time to send a note out to the team, get them ready.
  18. Callie Brennan
    Callie Brennan None
Perfect. I'll send over a couple of date options. And just so you know, once you're live, you might see some edge cases. Like, someone asks a question and the answer looks a bit weird. Don't panic, just let me know and we'll debug it together.
  19. Kayleigh Roberts
    Kayleigh Roberts None
How long does that kind of support usually take? Is it quick or can it be a long thing?
  20. Callie Brennan
    Callie Brennan None
Usually pretty quick. Most of the time it's a data mapping issue or a nuance with the data that we just need to explain. Rarely takes more than a day or two to sort.
  21. Jade Kenwright
    Jade Kenwright None
OK. Is there anything else I need to know?
  22. Callie Brennan
    Callie Brennan None
Just, one small thing. I noticed we've only got about half a user active on the system so far, it's been me testing and you lot signing off on data. Once you're live, that'll change. But before we go live, just make sure your team knows this is coming. You've got fifteen users included, and we want them all using it.
  23. Jade Kenwright
    Jade Kenwright None
Yeah, I'll make sure everyone knows. We're pretty excited about it, honestly.
  24. Callie Brennan
    Callie Brennan None
Good. So, quick recap. Kayleigh checks the Xero sync this week, I do final validation, we go live end of next week. Training session next week. And then you're off and running.
  25. Kayleigh Roberts
    Kayleigh Roberts None
    Yep, that all makes sense.
  26. Callie Brennan
    Callie Brennan None
Brilliant. Thanks both. Really looking forward to seeing your team start using it.
  27. Jade Kenwright
    Jade Kenwright None
    Cheers, Callie. Talk soon.
