Current to 11 Oct 26Kickoff on 26 Jun 2023 with Jade Kenwright and Kayleigh Roberts. Callie Brennan set out a four-week plan to go live. The customer's first task is Salesforce, Xero and Snowflake access, which Kayleigh owns.
What happened: Callie Brennan walked Jade Kenwright and Kayleigh Roberts through four weeks: connectors in week one, data review and first pages in week two, training in weeks three and four.
Customer view: Jade was ready to move and asked only what BB-Demo needed. Kayleigh asked what happens if the data looks wrong and was told mapping issues are fixed by BB-Demo, source-data gaps are flagged for the customer.
Commercial: Daniel Okafor set the ongoing model: support requests come to him, with monthly check-ins at first and then quarterly. The call states no tier, price or renewal terms.
Watch: everything starts with Kayleigh getting Snowflake credentials, which depends on the customer's IT team. Daniel also warned of field remaps and data quality questions during setup.

Follow-up
Next steps
Current to 9 Oct 26- Kayleigh Roberts to supply Salesforce, Xero and Snowflake access by Friday.
- Callie Brennan to build connectors and send an update by mid-week.
- Daniel Okafor to hold a data review call in about ten days.
Risks
Current to 9 Oct 26- Go-live depends on Snowflake credentials, which Kayleigh must clear with the customer's IT team first.
- Source data gaps, such as records not synced from Salesforce to Xero, would fall to the customer to resolve.
Opportunities
Current to 9 Oct 26- A clean week-four go-live with handover training would set up adoption by the customer's team.
- Monthly then quarterly check-ins with Daniel Okafor give an early line into adoption.
Transcript
- Callie Brennan NoneMorning, Jade, Kayleigh. Thanks so much for signing, we're really excited to get going. So what I want to do today is walk through the implementation plan for the next four weeks, make sure we're all clear on who's doing what and when. Does that work?
- Jade Kenwright NoneYeah, great. We're ready to move. What do you need from us?
- Callie Brennan NoneBrilliant. So, here's the plan. This week, what I need from your side is access. Salesforce API user with read access to your objects, same for Xero. We'll also need Snowflake credentials so we can connect our compute. Kayleigh, this probably falls to you. Does that make sense?
- Kayleigh Roberts NoneYeah, I can get that set up. Just need to check with our IT folks on the Snowflake side, but shouldn't be a problem. How quickly do you need it?
- Callie Brennan NoneBy the end of this week ideally, but next Monday is fine if you need the extra time. Once I have those, I'll start building the connectors. That usually takes a couple of days.
- Daniel Okafor NoneAnd then Kayleigh's going to review the initial data pull. Just to make sure everything looks right, records are coming through, no obvious gaps.
- Kayleigh Roberts NoneYeah, that works. How much data are we talking about?
- Callie Brennan NoneAll of it: your Salesforce accounts, contacts, opportunities, invoices from Xero. We'll do a full historical pull. First time it runs, it might take an hour or two to index everything, but after that it's nightly and much faster.
- Kayleigh Roberts NoneAnd if the data looks wrong, if we're missing records or something doesn't match, what then?
- Callie Brennan NoneGood question. We'll review it together. If it's a mapping issue, like a field isn't coming through right, I'll fix it. If it's something in your source data: a record that's not synced from Salesforce to Xero, for example, we'll flag it and you decide what to do.
- Jade Kenwright NoneAnd how long does this review phase take?
- Callie Brennan NoneAbout a week. So end of week one, connectors live and pulling data. Week two, we review the data, fix any issues, and I start building some initial pages, dashboards, basically, to show you how it works.
- Daniel Okafor NoneAnd then weeks three and four, we're training your team and making sure everything's ready to go live.
- Jade Kenwright NoneSo we're live end of June, basically?
- Callie Brennan NoneThat's the target. Week four, you're live. Your team can start asking questions, building pages, everything.
- Kayleigh Roberts NoneAnd from that point, what does it look like for us? Is it just maintenance?
- Callie Brennan NonePretty much. The brain refreshes automatically every night. If you need to add users or update a field mapping, that's all in the admin panel. I'll do a handover session: walk you through everything, show you where the settings are, how to troubleshoot. By the end of that, you're driving it.
- Jade Kenwright NoneAnd if we have questions or issues come up later?
- Daniel Okafor NoneYou reach out to me, that's what I'm here for. Support requests come to me, I either help you directly or loop in Callie if it's more technical. I'll also be checking in with you regularly, monthly at first, then quarterly once we settle in.
- Jade Kenwright NoneOK, sounds good. So, first step is we get you the access credentials. Kayleigh's on it?
- Kayleigh Roberts NoneYeah, I'll get started on that today. Should have it by Friday.
- Callie Brennan NonePerfect. And once I have those, I'll kick off the connectors and we'll get the first data pull running. I'll send you an update by mid-week.
- Daniel Okafor NoneAnd in the meantime, just to set expectations, you might see some small issues during setup. Maybe a field we have to remap, data quality questions. That's totally normal. We'll work through it together.
- Jade Kenwright NoneCool. And what about our team: should they be preparing anything, or just waiting to hear from you?
- Callie Brennan NoneJust relax for now. We'll do most of the heavy lifting. In week three, I'll run a training session with your team: show them how to ask questions, build pages, all of that. But before we get there, nothing to do on your end.
- Jade Kenwright NonePerfect. Sounds like a good plan.
- Daniel Okafor NoneRight. So, next touchpoint is mid-week, Callie sends an update. Then we've got a data review call in about ten days. Sound good?
- Kayleigh Roberts NoneYeah, that works.
- Callie Brennan NoneGreat. Thanks so much, both. Really looking forward to getting this live.
- Jade Kenwright NoneThanks, Callie. Cheers, Daniel.
- Daniel Okafor NoneSpeak soon.
