What this says
Current to 11 Oct 26Natalie Eze's 29 Apr 2025 check-in with Aisha Bukhari. Daily use has more than doubled, support is quiet and invoices are current. Aisha wants turnaround figures and a data-location note for a trust review.
What happened: Natalie reported about six people in the brain on an average day, against two or three the quarter before. Aisha said the contract managers spread it themselves.
Customer view: Aisha said the brain replaced three places and a spreadsheet for trust referrals, tickets and invoices. She was nervous in January about take-up but it has been fine.
Commercial: Growth at £42k a year, matching invoices, running to 5 Jan 2026 and renewing on 6 Jan 2026. Aisha's rule is no surprises on cost or users.
Watch: The value case rests on the turnaround trend, and Natalie promised to flag any data gaps. A permissions question on per-trust invoice access is open.

Follow-up
Next steps
Current to 9 Oct 26- Natalie Eze to send the monthly turnaround trend with a note on any gaps, aiming for the start of the following week.
- Natalie Eze to send a short note on where the data sits in the customer's Snowflake account.
- Aisha Bukhari to come back on the per-trust invoice permissions question if it is a real need.
Risks
Current to 9 Oct 26- The trust review depends on turnaround data, and any gaps in a month could weaken the value case.
- The per-trust invoice permissions question is unresolved and Natalie will not promise what is not confirmed.
Opportunities
Current to 9 Oct 26- Usage has more than doubled with room under the forty licensed users, which supports a clean renewal on 6 Jan 2026.
- A shown turnaround improvement gives Aisha a value case for the trust and for her own finance team.
Transcript
- Natalie Eze NoneHello Aisha, can you hear me all right?
- Aisha Bukhari NoneHello Natalie, yes, loud and clear. Good afternoon. Sorry, I've just got back from a meeting that overran, so I'm a minute behind myself.
- Natalie Eze NoneNo problem at all, I've only just joined too. How's the week going? Is it still grey up in Newcastle?
- Aisha Bukhari NoneIt's actually lovely today, which is a surprise. Bright and cold. I'm not complaining. Busy though. The contract review with one of the trusts is coming up, so that's most of what's in my head at the moment.
- Natalie Eze NoneRight, that's useful, because it connects with what I wanted to cover. This is just a check-in, nothing heavy. I've pulled the usage for the last few weeks, I'll talk you through it, and then you can tell me what you need before that review. Does that work?
- Aisha Bukhari NoneThat works well. Go on.
- Natalie Eze NoneSo the headline is that it's gone up quite a lot compared with the quarter before. On an average day there's now a handful of people in the brain, about six, whereas before it was nearer two or three. So more than double. And it's not one person doing it all, which is what I'd worry about.
- Aisha Bukhari NoneMm. That fits, actually. When we rolled it out I had it with a couple of the contract managers, and then they told the others. One of them was using it on a call with a trust last week and I think that did more than any training I could have run.
- Natalie Eze NoneThat's the best way for it to spread. What were they using it for, do you know?
- Aisha Bukhari NoneMostly pulling together the referrals for a trust next to the reporting-turnaround tickets and what we've invoiced them. Before, that was three different places and a spreadsheet that only one person understood. Now they just ask.
- Natalie Eze NoneLovely. And that's exactly why you bought Growth, so good to hear it's happening in practice.
- Aisha Bukhari NoneIt is. I'll be honest, I was a bit nervous in January about whether people would actually take to it. Contract managers are not always keen on new tools. But no, it's been fine.
- Natalie Eze NoneGood. On the support side it's very quiet, which is what I'd hope for. There's been one ticket in the last month and it was a how-to question. Nothing urgent, nothing high priority, and it was answered inside the window.
- Aisha Bukhari NoneYes, that was me, I think. I couldn't work out how to filter by trust. It was answered quickly, so no complaints.
- Natalie Eze NoneHa, thought it might be. Fine, that's what it's there for. And invoices are all up to date on our side, nothing overdue, so no issues there either.
- Aisha Bukhari NoneGood. Our finance team would be unhappy if there were. Graeme in particular.
- Natalie Eze NoneUnderstood. So the contract. Just so we're both looking at the same thing, you're on Growth, forty licensed users, and the contracted annual figure is £41,800. That matches what's been invoiced, so there's nothing to untangle. It runs to 5 Jan 2026 and renews on 6 Jan 2026.
- Aisha Bukhari NoneRight, thank you, that's helpful to have in front of me. What does the contract say about the number of users? We're nowhere near forty at the moment, obviously.
- Natalie Eze NoneForty is the licensed number, and you've got plenty of room. Based on how it's growing I wouldn't expect you to hit it soon, but if you did, that's a conversation with Lewis, not something that would just switch on and cost you. And I wouldn't want you to buy more than you need.
- Aisha Bukhari NoneGood. No surprises for the trust, and no surprises for us. That's my rule.
- Natalie Eze NoneFair. So tell me about the review. What do you need to walk in with?
- Aisha Bukhari NoneSo, the trust will want to see our reporting turnaround. They always do. Let's see the turnaround figures, month by month, and whether they've improved since we started. If I can show it's visible to us before they raise it, that's a much better conversation than defending it.
- Natalie Eze NoneOkay. The tickets and referrals data is all in there for them, so I think we can show you the trend. I'd want to be careful, though. I don't want to hand you something that overstates it. If there are gaps in the data for any month, I'll say so.
- Aisha Bukhari NonePlease do. I never overstate things to a trust, it comes back on you. If it's patchy I'd rather know now.
- Natalie Eze NoneAgreed. Is it just the turnaround, or is there anything on the information governance side they'll ask about?
- Aisha Bukhari NoneThey might. They usually ask where the data lives and who can see it. It sits in our own Snowflake account, doesn't it? That's what I told them originally.
- Natalie Eze NoneYes, it runs inside your Snowflake account, so it stays under your own controls. I can put a short note together that says that plainly, so you're not relying on memory.
- Aisha Bukhari NoneThat would be really useful, thank you. Plain is better. I don't want to cut a corner on that.
- Natalie Eze NoneNo, quite right. Anything else you're finding awkward at the moment? Anything you wish it did?
- Aisha Bukhari NoneNot really awkward. One of the managers asked whether she could see the invoices for a trust without seeing the others, but I think that's a permissions thing and I'd have to speak to our analyst about it. I'll come back to you if it's a real question.
- Natalie Eze NoneSure. Just flag it and I'll find out what's possible rather than guessing. I don't want to promise something here that isn't right.
- Aisha Bukhari NoneThat's all I'd ask.
- Natalie Eze NoneRight. Shall I recap? I'll send you the turnaround trend by month, with a note on any gaps, plus a short note on where the data sits. Aiming for the start of next week, so you've got it before the review.
- Aisha Bukhari NonePerfect. And I'll ask the managers if there's anything else they want pulled out and let you know.
- Natalie Eze NoneBrilliant. Thanks Aisha, that was quick but really useful. Enjoy the sunshine.
- Aisha Bukhari NoneI will, thank you Natalie. Speak soon. Best wishes.
