Training call a week after go-live. Gemma Varley's pain is complaint handling across three systems. Laura Penhaligon showed search, chat and dashboards, and Gemma left confident. Fifteen users were mentioned, with room to grow.

What happened: Laura Penhaligon trained Gemma Varley on search, chat and the no-code dashboard builder. Gemma asked about exports, the meaning of overdue and who can build dashboards.

Customer view: Gemma's main frustration is complaints that force her through three systems. She ended with "Good. Think I've got the hang of it."

Commercial: Laura told her there are fifteen users and that this can grow. That is a route to extra users if adoption spreads beyond Gemma.

Watch: The data is a day old, refreshed nightly by seven, which Gemma was told in advance. The call does not show how many people were trained or who else will use the brain.

Follow-up

Next steps

Current to 9 Oct 26
  • Customer success to check in with Gemma Varley in a couple of weeks, as promised on the call.
  • Confirm who at Wrenfield reviews dashboards and sets the overdue definition.

Risks

Current to 9 Oct 26
  • Only one customer user was on the call, so adoption beyond her is unproven.
  • Data is a day old, which could disappoint if staff expect live answers.

Opportunities

Current to 9 Oct 26
  • Fifteen users were mentioned with room to grow, so extra users are possible if adoption spreads.
  • Gemma's interest in dashboards shows appetite for the customer to build its own views.

Gemma, welcome. You and the team went live about a week ago, so today we're going to walk you through how to use the brain for your day-to-day work. Let me start by asking, what's your main frustration at the moment? What do you spend too much time on?
  2. Gemma Varley
    Gemma Varley None
Honestly, it's managing complaints. A resident rings up angry about something, I have to go into three different systems to understand what's happened: is it a missing service charge payment, a repair that didn't get done, a noise complaint from a neighbour?
  3. Laura Penhaligon
    Laura Penhaligon None
Right. So the brain is going to save you time there. Let me walk you through how. I'll search for a resident, say flat 15 block D, and show you everything about that resident on one screen. Open tickets, outstanding invoices, call history, everything. You don't jump between systems anymore.
  4. Gemma Varley
    Gemma Varley None
    Okay, walk me through that.
  5. Laura Penhaligon
    Laura Penhaligon None
So I'm in the search page. I type the resident name or the flat number: let's say flat 15 block D: and in a couple of seconds, here's what I get. Recent tickets, their invoice history, calls we've logged. I can see they had a repair ticket from February that's still open, and they called last week. All from one place.
  6. Gemma Varley
    Gemma Varley None
That's clean. Can I export that?
  7. Laura Penhaligon
    Laura Penhaligon None
Yes, you can export to CSV or PDF. Useful if you need to send it to the repair team or put it in a case file. Now, the other tool is chat, more conversational. If you want to ask a longer question. For example, 'show me all residents who've called at least twice in the last month and have an overdue invoice'. The brain builds that query and returns the results.
  8. Gemma Varley

How does it know what 'overdue' means?
  9. Laura Penhaligon
    Laura Penhaligon None
Good question. We trained the brain on your data, we told it 'overdue' means more than sixty days past the due date. You can configure that; if you want it to be ninety days, Hugh can change it.
  10. Gemma Varley
    Gemma Varley None
And where does it get all this information?
  11. Laura Penhaligon
    Laura Penhaligon None
Your Snowflake. It pulls from your ticketing system, invoicing, call logs, and CRM, all live, updated nightly. The data stays in your account the whole time.
  12. Gemma Varley
    Gemma Varley None
Right. What about dashboards? Hugh mentioned those.
  13. Laura Penhaligon
    Laura Penhaligon None
Those are my favourite. You can build a live dashboard without any code. Let me show you, I'm going to create a simple one. I want to see outstanding invoices by block, updated daily. I drag in a chart, select the data source, invoices, then choose how to group it. By block. That's it. Now I can save it and come back to it, share it with the team.
  14. Gemma Varley
    Gemma Varley None
Can everyone build these or just admins?
  15. Laura Penhaligon
    Laura Penhaligon None
Everyone can. Though typically you'd have an admin or someone like Hugh review them first, make sure the logic is right. But Toby can show you how if you want to build your own.
  16. Gemma Varley
    Gemma Varley None
How often should I be using this? Daily?
  17. Laura Penhaligon
    Laura Penhaligon None
Depends on your job. If you're handling complaints, every time a resident calls you might ask the brain to pull their history. If you're managing collections, you might check that overdue invoices dashboard daily. There's no requirement, it's whatever adds value to you.
  18. Gemma Varley
    Gemma Varley None
Alright. Any gotchas I should know about?
  19. Laura Penhaligon
    Laura Penhaligon None
Few things. One, data is always a day old, refreshed nightly by seven. So if something happens at five in the evening, it won't show up until the next morning. Two, if you see something that looks wrong, message the helpdesk, don't assume the brain is broken. Usually it's a data quirk we can explain. Three, you've got fifteen users, but that can grow if you need more. Just speak to Amara.
  20. Gemma Varley
    Gemma Varley None
Good. Think I've got the hang of it.
  21. Laura Penhaligon
    Laura Penhaligon None
Brilliant. You can message me or the helpdesk if you get stuck. Amara will be checking in in a couple of weeks to see how you're getting on. Cheers, Gemma.

Data as of Fri 9 Oct 2026. Text marked AI was written by the brain from the records listed in its made-from link; an AI output that cannot cite its evidence is refused and the previous text kept. Where two systems disagree (for example a contract and the CRM), the key facts show both values and mark the difference.
