What this says
Current to 11 Oct 26Onboarding call on 20 Jan 2025 for the Growth tier. Dunholm Precision wants five sources connected first, written access agreed, a mapping test shown before go-live, and a second admin named. Ruth Ackroyd wants proof before she is told it is done.
What happened: Callie Brennan walked Ruth Ackroyd and Nathan Booth through the onboarding plan on 20 Jan 2025. Nathan wants five sources first: order system, quality system, call recorder, email and the audit shared drive.
Customer view: Ruth wants the mapping shown working on a test set before anything goes live. She also wants a small first group of users, not all forty on day one.
Commercial: Growth tier, forty licensed users, eight connectors, with the first year running to 30 Nov 2025. Five of eight connectors leaves headroom, and trust in the answers in the first weeks matters most for the later renewal.
Watch: Nathan is the only admin and no second admin is named yet. The call recorder depends on a sales engineering colleague granting read-only access.

Follow-up
Next steps
Current to 9 Oct 26- Nathan Booth to confirm written access for the order and quality systems and send about a dozen part numbers.
- Ruth Ackroyd to name the second admin and decide the first group of users.
- Callie Brennan to run the mapping test, write the note for the sales engineers and agree a first refresh date.
Risks
Current to 9 Oct 26- Nathan Booth is the only admin and the second admin is not yet named.
- The call recorder needs read-only access from the sales engineering team, which is not yet requested.
- The revision letter on part numbers in the quality system must be mapped correctly or answers will not match.
Opportunities
Current to 9 Oct 26- Five of eight Growth connectors are planned, leaving room to add more sources later.
- A staged rollout from order management and quality can widen towards all forty licensed users.
Transcript
- Callie Brennan NoneMorning, Nathan, morning Ruth. Can you both hear me? Lovely. Let me tell you the plan for the next while, so you know where we're heading. First, the sources and who owns each. Second, access and credentials. Third, how we map the fields, and what the first refresh will look like. Then who does what by when.
- Ruth Ackroyd NoneMorning. What's changed since last time? I've a note that we signed the order form, and the Growth tier was confirmed, forty users. Is that right?
- Callie Brennan NoneYes, that's right. Customer since 1 Dec 2024, and the first year runs to 30 Nov 2025, so we've got a clear year to get this working. Forty licensed users, and eight connectors available on Growth. You won't need all eight.
- Nathan Booth NoneWe've got five I'd like to start with. Order system, quality system, the call recorder, email and the shared drive with the audit documents.
- Callie Brennan NoneGood. That's a sensible five. Let me go through them one at a time. For each one, what I need from your side is: a named owner, written access, and a read-only account. I never start a connector without written access, so that's the one hard rule I've got.
- Nathan Booth NoneUnderstood. I can do the order system and the quality system myself. The call recorder is administered by someone in the sales engineering team, so I'd need to ask them.
- Callie Brennan NoneThat's fine. Could you ask them this week, and ask for a read-only account, not an admin one? I'd rather have less access than more.
- Nathan Booth NoneYes. I'll write to them today.
- Ruth Ackroyd NoneWhile we're on the call recorder. One of our sales engineers is leaning on that heavily. If the data is wrong, he'll be the first to tell me. Is there anything I need to warn him about?
- Callie Brennan NoneJust that the transcripts load nightly, so what he said this morning won't be there until tomorrow. Otherwise nothing. I'll write a short note you can pass to him.
- Ruth Ackroyd NoneGood. Do that. I'd like the note to say what it does and doesn't cover. Plain words.
- Callie Brennan NoneWill do. Right, mapping. Nathan, you mentioned during the demo that the quality system adds a revision letter to the part number and the order system doesn't. I've got that on my list. Before we switch on the refresh, I'd like to do a test on a small set of real parts. Could you send me about a dozen part numbers, including a few with revisions?
- Nathan Booth NoneA dozen. Yes. I'll pick a mix, some that have had quality issues, some clean ones.
- Callie Brennan NonePerfect, that's exactly the right mix. Then I'll strip the revision for the join and keep it as its own field so nobody loses the information. I won't call that mapping done until I've checked it against your list.
- Ruth Ackroyd NoneWhich customer, which part. That's what I need to be able to type. Show me that works before you tell me it's done.
- Callie Brennan NoneI will. I'll show you on the test set before we turn anything on for everyone. If it doesn't match, I'll tell you rather than say it should be fine.
- Nathan Booth NoneWhat does the first refresh actually do? Does it pull everything at once?
- Callie Brennan NoneThe first load takes the history, so it's the biggest and the slowest. It runs overnight. After that, each night only picks up what's changed. You'll get a summary in the morning of how many records came in per source, and if any source shows nothing, that's the first thing I'll look at.
- Nathan Booth NoneGood. I'd like that summary sent to me directly, not just in the admin page.
- Callie Brennan NoneThat's easy. I'll add you. Now the admins. At the moment it's you, Nathan. I'd recommend a second admin, so if you're away or leave, someone can run things.
- Nathan Booth NoneFair. It's just me for systems. I'll ask whether someone in order management can be named as a backup.
- Ruth Ackroyd NoneI'll sort that. Someone from my team. Probably the order management lead, she's careful.
- Callie Brennan NoneBrilliant. I'll set up a short training for both admins, and leave you a setup note when I hand over, so nothing lives only in my head.
- Ruth Ackroyd NoneWho gets access first? I don't want all forty on day one. I'd start with order management and quality.
- Callie Brennan NoneThat's wise. Start with a small group, make sure it's right, then widen. Which means the first few weeks are about trust in the answers more than numbers of people.
- Ruth Ackroyd NoneAgreed. Anything else I need to do?
- Callie Brennan NoneLet me recap, with owners. Nathan: written access for the order and quality systems this week, a request to sales engineering for the call recorder, and the dozen part numbers. Ruth: name the second admin and decide the first group of users. Me: the note for the sales engineers, the mapping test, and then we pick a date for the first refresh together once access is in.
- Nathan Booth NoneThat's all clear. I'll confirm in writing when the access is in place.
- Ruth Ackroyd NoneGood. Thanks, Callie.
- Callie Brennan NoneThanks, both. Speak soon.
