Sarah Hollis says activity is a bit better after the team session. Three or four people use the brain regularly, and one comment said the data felt old. She called it not a blocker.

What happened: Daniel Okafor ran a routine check-in on 13 May 2024. Sarah Hollis, Operations Director, said usage had risen since the team session BB-Demo offered.

Customer view: Searches such as customer lookups and invoice checks are more common than questions. Someone said the data felt a bit old, but Sarah called it a comment, not a blocker.

Commercial: Regular use is three or four people against 15 seats, so there is headroom. Daniel mentioned an add-on for faster refresh but did not push it.

Watch: Adoption is thin and search-led, and the evidence does not show how many questions are asked. Value will be hard to show at renewal unless regular use grows.

Follow-up

Next steps

Current to 9 Oct 26
  • Daniel Okafor to touch base again in a few months and keep encouraging usage.

Risks

Current to 9 Oct 26
  • Only three or four regular users against 15 seats leaves the value case thin.
  • A comment that the data felt old could grow if the nightly refresh does not meet needs.

Opportunities

Current to 9 Oct 26
  • The 15-seat allowance leaves room for more users if the team picks it up.
  • Daniel mentioned an add-on for faster refresh if real-time needs appear.

Hi Sarah. Just checking in, how are things going with the brain now?
  2. Sarah Hollis
    Sarah Hollis None
Bit better, actually. We did that team session you offered to do and since then we've seen a bit more activity.
  3. Daniel Okafor
    Daniel Okafor None
That's great. What kind of activity, are people asking questions or mostly searching?
  4. Sarah Hollis
    Sarah Hollis None
Mix of both. The searches are probably more common, customer lookups, invoice checks. But I've seen a couple of people using the question feature too.
  5. Daniel Okafor

Excellent. Any issues with the tool itself?
  6. Sarah Hollis
    Sarah Hollis None
Nothing major. One thing, someone said the data felt a bit old sometimes. Is there anything we can do about that?
  7. Daniel Okafor

The refresh is nightly, so by default they see everything as of the morning. If someone needs something more real-time, like they just entered an invoice and need to see it immediately, there's an add-on that gives faster refresh. But for most of what you're doing, nightly should be fine. Is it actually causing problems or more of a general comment?
  8. Sarah Hollis
    Sarah Hollis None
More of a comment, I think. Not a blocker.
  9. Daniel Okafor

Good. Well, if it becomes an issue, let me know. Otherwise you're on the right track. How many people are active now, would you say?
  10. Sarah Hollis
    Sarah Hollis None
I'd say maybe three or four using it regularly. Maybe a couple more dipping in here and there.
  11. Daniel Okafor

And you've got 15 seats, so there's headroom to grow if the team picks it up more. Anything else?
  12. Sarah Hollis
    Sarah Hollis None
    No, I think we're good.

Brilliant. I'll touch base in another few months. In the meantime, keep driving usage from your side. The more people use it the more value you'll get out of it. Cheers, Sarah.
