1. Why we are writing
Brackwell Freight has been a B-Brain customer since 1 Dec 2023. The current term ends on 30 Nov 2026, so the renewal conversation needs to happen now and not at the last minute. This draft sets out what we propose to put in front of Brackwell, and it is deliberately honest about where the account is today.
Brackwell runs road freight and contract warehousing for retailers from Trafford Park and five other depots. The brain was bought so that revenue operations and the depot account managers could see accounts, delivery-exception tickets and calls together, and spot at-risk retail contracts early.

The commercial and support picture is clean. Brackwell pays on time and is not raising problems.
The concern is usage. The average number of people active in a typical month has fallen noticeably against the previous quarter, and it is a small group of people compared with forty licensed users. Few tickets from a shrinking group of users can be quiet rather than healthy, so we should not read the lack of complaints as satisfaction. This is the main thing the renewal conversation has to address.
3. Proposal
Renew the Growth subscription for a further annual term from the end of the current one.

The annual price is the current Growth list price and replaces the forty-four thousand pounds paid under the original order form. Tom will confirm the final figure against the price book before anything goes to the customer. This draft should not be treated as a quote.
4. How we frame the value
Because usage has slipped, we should lead with value rather than price.
- Show Brackwell what the brain has surfaced for its depot account managers: at-risk retail contracts, delivery-exception patterns and the calls behind them.
- Name who asks the questions today and who has stopped. We need to understand whether this is a key-person issue or a general drift.
- Be clear that the number of licensed users is a headroom question as much as a cost question. If forty is more than Brackwell needs, we would rather discuss that openly than have it surface at signature.
5. Open points before this goes out
- Reason for the drop in use. We do not yet know whether this follows a reorganisation, a departure or simply a change in how the depots work. Marcus to find out from the customer side.
- Champion. Confirm who at Brackwell owns the brain day to day and who will sign the renewal.
- User count. Decide whether to hold forty users or offer a smaller or reshaped plan if the real working group is small.
- Connectors. Check that every connected source is still loading and that records are still being indexed. A flat source would explain some of the fall.
- Price conversation. Agree internally how to present the difference between the current contract and the current list price.

7. Risk if we do nothing
If we wait for the end of the term, Brackwell may ask why it is paying for a brain used by few people, and we would have no recent answer. Acting now lets us show value, fix anything broken and agree a plan that Brackwell wants to sign.
