What this says
Current to 10 Oct 26Kickoff for the signed Growth order form. Joost Verbeek wants a firm live date for Exact Online, the first Friday in March, and clear plans, and noted the wait between signing and kickoff.
What happened: Elena Novak confirmed the order form signed on 5 Jan 2026 for Growth, forty licensed users, forty-five thousand annual subscription, term to 4 Jan 2027. Joost agreed this matched Veldmaat's copy.
Customer view: Joost said the team waited some days between signing and kickoff and wants the plan to be clear. He insisted Exact Online must not slip because earlier connectors are late.
Watch: Exact Online is the hardest connector, because merchant identifiers in HubSpot and the accounting system do not always match. Hannah Lowe needs Sanne Bakker's sample before promising effort.
Open items: two Veldmaat names are still outstanding, a daily user and a finance contact for Exact Online.

Risks
Current to 9 Oct 26- Exact Online merchant identifiers do not always match HubSpot, which could threaten the first Friday in March live date.

Opportunities

- A named merchant risk daily user gives a second team a route to adoption.
Transcript
- Elena Novak NoneHello everyone. Can you all hear me? Joost, Sanne, welcome. Hannah is also here from our side.
- Joost Verbeek NoneHello Elena. I hear you well. Hello Hannah.
- Hannah Lowe NoneHello both. Good to finally see you on one screen rather than in an email thread.
- Sanne Bakker NoneHello. Sound is fine.
- Elena Novak NoneThank you. As I wrote in the agenda yesterday, there are four points today. First, to confirm what was signed. Second, the connectors and their order. Third, who owns what at Veldmaat. Fourth, the dates and the written actions. I will send the actions in writing after the call.
- Joost Verbeek NoneGood. That is what I want. Before we start, to be honest, I want to say that we waited some days between signing and today. I would like the plan to be clear.
- Elena Novak NoneUnderstood, Joost, and as agreed we will be precise today. So, to confirm: the order form was signed on Monday 5 January 2026, for the Growth tier, with forty licensed users, and an annual subscription of forty-five thousand, as the order form states. The term runs to 4 Jan 2027.
- Joost Verbeek NoneForty-five thousand. Yes. That is what is in our copy.
- Elena Novak NoneGood. I mention it because the executed order form is the document that decides the terms, so if anything anywhere else says something different, we go back to this one.
- Joost Verbeek NoneThat is correct. So what is the plan for the connectors?
- Hannah Lowe NoneI can take that. The short answer is: three connectors, HubSpot, Zendesk and Exact Online. The longer answer is that they're not equal. HubSpot and Zendesk are straightforward. Exact Online is the one with the most moving parts, because of how your finance team structures the data.
- Sanne Bakker NoneWhat parts? Which parts move?
- Hannah Lowe NoneTo be precise, it's the mapping between a merchant in HubSpot and the same merchant as a customer in your accounting system. If the identifiers don't line up, you get two merchants where there should be one. I'd want to see a sample from your side before I promise how long that takes.
- Sanne Bakker NoneIdentifiers are not the same. Not always. Some merchants have two records. I can export a sample.
- Hannah Lowe NoneThat would help a lot. Thank you.
- Joost Verbeek NoneWhat was agreed in the order form is that Exact Online is live within a number of days. So please tell me the date. Not a week. A date.
- Elena Novak NoneTo confirm, the commitment for Exact Online is a live date on the first Friday in March. I will make sure it is written in the plan today, as agreed.
- Joost Verbeek NoneThe first Friday in March. Good. I write that down. And the other two?
- Hannah Lowe NoneEarlier. HubSpot first, because that's where the merchant records live and everything else attaches to it. Zendesk after that. I'd like both flowing before we start on the accounting system, so we're testing the mapping against real data.
- Elena Novak NoneI will put them in this order in the plan: HubSpot, then Zendesk, then Exact Online. Joost, do you agree with the order?
- Joost Verbeek NoneYes. It is logical. But if HubSpot is late, then Exact Online is not allowed to be late because of it. That is for me important.
- Hannah Lowe NoneUnderstood. I'll put that in writing: the Exact Online date doesn't move because of the earlier two, unless the sample from Sanne is late. Does that seem fair?
- Joost Verbeek NoneThat is fair. Sanne, you send the sample this week?
- Sanne Bakker NoneYes. This week. I need access to the export. I will ask finance today.
- Elena Novak NoneThank you. Third point, ownership. Please correct me. Joost is the sponsor. Sanne is the owner of the connectors and the admin of the brain. Is there a third person on the Veldmaat side?
- Joost Verbeek NoneA colleague from the merchant risk team will be the first daily user. And a person in finance who gives access to Exact Online. I will give you the names in the written follow-up.
- Elena Novak NoneGood. Then I will leave two places in the plan for the names and mark them as open until I have them.
- Sanne Bakker NoneOne question. Refresh. When is the data fresh in the morning? I check every morning.
- Hannah Lowe NoneThe nightly refresh should be complete by 07:00 your local time on business days. That's the standard on every tier. If it isn't, you raise a ticket and we look at it.
- Sanne Bakker NoneOkay. I will watch it. And I will write a ticket if it is not complete.
- Joost Verbeek NoneAnd for the record, I want to be sure about one thing. Support. If something is broken, how fast is the response? Is it in our contract?
- Elena Novak NoneAs agreed in the order form, Growth has a defined first response for a priority one problem, of one business hour. I will include the exact wording in my follow-up so you have it in writing.
- Joost Verbeek NoneGood. Then the dates. What happens next, concretely?
- Elena Novak NoneI will make sure that you receive three things after this call. One, the written actions. Two, the connector plan with HubSpot, Zendesk and Exact Online in order, and the Friday in March against the last one. Three, the access list, for Sanne to fill in. Hannah, anything to add?
- Hannah Lowe NoneOnly that I'll send a short architecture diagram showing where the data sits in your Snowflake account, so your security people can see it in one picture. I'll put that in writing too.
- Joost Verbeek NoneGood. That is all from me. Thank you Elena, thank you Hannah. Met vriendelijke groet.
- Sanne Bakker NoneThanks. Sample goes this week.
- Elena Novak NoneThank you both. Kind regards, and you will have the written actions today.
